Responsibilities: • Human Resources Support: • Source, screen, interview, and test qualified job candidates. • Maintain comprehensive personnel records for all employees. • Process new hires, transfers, terminations, and job classification changes. • Track employee leave (vacation and sick). Administrative Support: • Create professional correspondence and documents. • Develop and maintain presentations. • Manage electronic records and spreadsheets. • Handle all telephone and email inquiries efficiently. • Implement and maintain a filing system to organize documents. • Attend meetings, take accurate minutes, and keep detailed notes. • Manage office supplies by ordering, maintaining inventory, and establishing supplier relationships. • Oversee mailroom operations, including sorting, distributing incoming mail/parcels, and organizing outgoing mail. • Maintain the company employee master list and registration data. • Manage the recruitment system and source qualified personnel through manpower pooling. • Oversee the renewal processing of the company's legal documents with the legal counsel. Executive Support: • Manage business-related information files for easy access. • Answer phone calls, greet visitors professionally, and manage the Director's schedule. • Compose professional letters and other business communications. Financial: • Manage accounts payable and receivable to ensure accurate financial records. • Generate company financial reports (trial balance, balance sheet, etc.) using • QuickBooks. • Maintain and monitor the company's petty cash. Tax and Compliance: • Oversee VAT filing and ensure timely remittance of all taxes and financial obligations. • Reconcile the company's bank statements with the QuickBooks bookkeeping ledger. Requirements
Requirements: • Bachelor's degree or equivalent experience preferred. • Proven experience as a personal assistant or executive assistant. • Excellent organizational and time management skills. • Strong communication and interpersonal abilities. • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook). • Ability to multitask and prioritize tasks effectively. • Discretion and trustworthiness in handling confidential information. • Flexibility to work outside of regular business hours when necessary.
