Job Overview:

Here's your chance to step into the role of Event Sales Coordinator at Dubai Holding Entertainment. In this position, you'll take on key responsibilities that include:

• The primary responsibility of this role is to ensure the smooth execution of all sales-organized events. This includes updating reports, tracking and coordinating necessary approvals, and performing upsell activities. The role supports the sales department's operations, ensuring that company standards are consistently met. Additionally, the position involves interacting and communicating effectively with the Sales team, relevant departments, external clients, and stakeholders.
• Financial Responsibilities:
• Assist the Senior Events Manager in providing reports, guidelines, and project information.
• Ensure accuracy of sales invoices before approval and application of related charges.
• Operational Responsibilities:
• Manage event and group sales administration, communication, and control.
• Conduct weekly event update meetings with internal stakeholders.
• Conduct research to understand event requirements thoroughly and provide suitable options to clients.
• Conduct site tours with clients and prepare event quotations as per Senior Events Manager's instructions.
• Supervise event preparation and organization with Senior Sales Manager's support.
• Coordinate with departments, stakeholders, and clients to ensure smooth event execution.
• Distribute Event Function Sheets to all stakeholders.
• Coordinate post-event activities and provide post-event reports highlighting improvement areas.
• Ensure all sales office communication meets corporate standards.
• Handle Dubai Holding Entertainment collaterals and gift items inventory.
• Manage purchase requisitions and monitor purchased items.
• Handle business trip arrangements.
• Maintain department data filing system.
• Assist in retrieving production reports and provide ad hoc reports as required.
• Assist Senior Events Manager in preparing contracts and communications.
• Ensure updated contract tracking and communication to relevant departments.
• Coordinate approval processes for timely execution.
• Support sales department operations and maximize event revenue through upsell activities.
• Maintain company standards across all events.
• Communicate effectively with sales team, departments, clients, and stakeholders.
• Ensure smooth running of all sales-organized events

About you:

The preferred candidate for this role should possess the following experience and credentials:

• Graduate in Business Administration, Communications & Events or other relevant field.
• At least 1-2 years of experience in a sales or events administrative role.
• Strong administration and MS Office skills
• Customer Service
• Financial Acumen
• Experience with data analysis and interpretation
