Position Details

Position Title: Venue & Events Coordinator

Reports To: Commercial Lead
Location: Al Shindagha Museum, Dubai, UAE
Contract Type: Full-Time (24-Month Fixed-Term Contract)
Contract Duration: 24 Months (August 2026 – July 2028)

About the Role

BLR WORLD is hiring a Venue & Events Coordinator to manage the coordination and administration of venue hire, commercial events, corporate functions, cultural activations, and special programmes across Al Shindagha Museum. Reporting to the Commercial Lead, the Venue & Events Coordinator will be responsible for ensuring the seamless planning, scheduling, coordination, and execution of all venue bookings while supporting the museum's commercial objectives and delivering exceptional client and visitor experiences.

The role will act as the primary point of contact for venue hire enquiries, corporate clients, government entities, event organisers, and internal stakeholders, managing the booking process from initial enquiry through to post-event evaluation. Working closely with the Commercial Lead, Operations Lead, Programs Development Manager, and Operations Coordinator, the Venue & Events Coordinator will ensure all events are commercially successful, operationally prepared, and delivered in accordance with Dubai Culture's standards, health and safety requirements, and museum operational procedures.

Key Responsibilities

Venue Hire & Booking Management

  • Manage all venue hire enquiries for corporate events, private functions, government events, cultural activations, educational programmes, and special museum experiences.
  • Act as the primary point of contact for clients throughout the venue booking lifecycle, ensuring a professional and responsive service.
  • Prepare venue proposals, booking confirmations, event schedules, quotations, and client correspondence.
  • Maintain an accurate venue booking calendar while optimising venue utilisation and availability.

Event Coordination

  • Coordinate the planning and operational delivery of all venue-based events in collaboration with internal operational teams.
  • Develop detailed event schedules, operational plans, logistics, staffing requirements, and venue setup plans.
  • Ensure all event requirements are communicated clearly to operational departments and external suppliers.
  • Coordinate event rehearsals, setup, breakdown, and post-event activities where required.

Client Relationship Management

  • Build and maintain positive relationships with corporate clients, government entities, tourism partners, event organisers, and community organisations.
  • Conduct venue site visits and client meetings to understand event requirements and provide appropriate solutions.
  • Ensure client expectations are managed professionally throughout the planning and delivery process.
  • Resolve client enquiries, operational concerns, and event-related issues promptly and effectively.

Commercial Support

  • Support the Commercial Lead in achieving venue hire and commercial revenue targets.
  • Identify opportunities to increase venue utilisation, develop new event packages, and enhance commercial offerings.
  • Promote venue hire opportunities to prospective clients and strategic partners.
  • Support the preparation of commercial proposals, pricing recommendations, and partnership opportunities.

Operational Coordination

  • Work closely with the Operations Lead and Operations Coordinator to ensure all events are operationally feasible and appropriately resourced.
  • Coordinate staffing requirements, visitor flow, security arrangements, cleaning schedules, and technical support for all events.
  • Liaise with the Programs Development Manager where venue bookings intersect with public programming or museum activities.
  • Coordinate with external suppliers, contractors, and service providers as required.

Event Administration

  • Maintain accurate booking records, contracts, event documentation, client files, and operational schedules.
  • Monitor venue availability, event calendars, and resource allocation.

  • Prepare event checklists, operational briefings, and internal communications.
  • Support procurement and inventory management for event-related equipment and materials where required.

Quality Assurance & Compliance

  • Ensure all venue hire activities comply with museum policies, contractual obligations, health and safety regulations, safeguarding procedures, and operational standards.
  • Conduct pre-event inspections to ensure venue readiness and operational compliance.
  • Monitor event delivery and implement service recovery measures where necessary.
  • Collect client feedback and identify opportunities for service improvement.

Reporting

Prepare and submit regular reports to the Commercial Lead, including:

  • Venue booking performance.

  • Revenue generated through venue hire.

  • Event attendance and participation.

  • Client satisfaction and feedback.

  • Venue utilisation statistics.

  • Commercial opportunities and sales pipeline updates.

  • Operational issues and post-event evaluations.

  • Recommendations for improving venue operations and commercial performance.

Required Experience

  • Minimum 3 years' experience in event coordination, venue management, hospitality, tourism, commercial operations, or visitor attractions.
  • Experience managing venue bookings, corporate events, or public programmes.
  • Strong organisational and project coordination skills.

  • Excellent client relationship management and customer service skills.

  • Experience coordinating multiple events simultaneously within fast-paced environments.
  • Strong administrative, reporting, and scheduling abilities.

  • Excellent communication, negotiation, and problem-solving skills.

  • Proficiency in Microsoft Office and venue booking or event management systems.

Preferred Experience

  • Experience working within museums, heritage sites, cultural institutions, hotels, conference centres, or visitor attractions.
  • Knowledge of UAE events, tourism, hospitality, and cultural sectors.

  • Experience supporting government or corporate events.

  • Familiarity with venue management software and CRM systems.

  • Additional language skills, particularly Arabic, are advantageous.

Required Education / Qualifications

  • Bachelor's degree in Event Management, Hospitality Management, Tourism, Business Administration, Commercial Management, or a related discipline.
  • Professional qualifications in Event Management, Venue Management, Customer Service, or Project Management are advantageous.

Location and Commitment

  • Full-time position.

  • 24-month fixed-term contract.

  • Working 5 days per week, with flexibility to support operational requirements, seasonal programming, public holidays, special events, and emergency operational needs.
  • Regular presence across all Al Shindagha Museum pavilions and facilities.
  • Location: Al Shindagha Museum, Dubai, United Arab Emirates.
