Job Description - Front Desk Operations Officer - Receptionist
Provide day to day operationalsupport at Front Desk reception, answer incoming phone calls, greetvisitors, guests and attend them, manage visitors accesscards.
Manage conference rooms bookings, sendhotel booking requests, coordinate with agency for tourist visas,tickets reservations &bookings.
Coordinate and check stationary itemsand raise purchase requests. Process business cards requests andoffice premises access cards.
Receive incomingmails and manage company outgoing couriers.
Day to dayresponsibilities:
FRONTDESK OPERATIONAL ACTIVITIES
Answering incoming telephone calls,assist callers, take and relay messages and transfer calls toconcerned staff, update PABX contactsdirectory.
Greet visitors, guests and attendthem as appropriate in accordance with visitor’s policy.Make sure that visitors have been registered and provided with anoffice premises access card. Guide them in the right direction ormeeting rooms.
Maintain daily log of visitorsin the office and control office access cards issuance andcollection.
Update contact information ofoffice staff members / each department i.e. office extensionnumber, mobile number and company emailaddress.
Maintain reception area tidy withsupport of office janitors and avoid unnecessary standing of staffmembers and visitors in reception area.
Ensurecompany flyers, magazines or other brochures are placed in thevisitors’ area properly.
Providevisitors with an HSE guide to know exit routes in case ofemergency.
INCOMING / OUTGOINGMAILS
Receive and sort mail delivers andmaintain incoming and outgoing mail log everyday.
Inform concerned department / focal personto collect their incoming mail from reception andregister.
Manage outgoing mails, inform courierto collect pickups. Process mail invoices asrequired.
