Job Description - Marketing and Tendering Coordinator

1                    Mission


Support the Tendering and Marketing teams with analysis and tools helping to find new opportunities and customers and prepare winning bid presentations and documents. Develop the internal, external communications and marketing activities for the Business Unit (BU) through organization of events such as exhibitions and forums.


2                    Line and Staff Relations


The Tendering & Marketing Coordinator will report to the Director of Tendering and Consulting. He/She is also collaborating with other functions of the on a daily basis. The role also includes collaborating externally.


3                    Key Responsibilities


Tendering:



  • Tender Document Preparation:
    Assist in preparing technical and commercial proposals for our projects, ensuring compliance with client requirements and industry standards.

  • Technical Evaluation Support:
    Conduct research and support technical evaluations of project requirements, helping the team to address specifications and technical challenges effectively.

  • Collaboration Across Teams:
    Work closely with senior engineers, project managers, and other departments to gather the necessary data and ensure a full understanding of project scope and objectives.

  • Cost Estimation Contribution:
    Collaborate with other teams to assist in developing accurate cost estimates and labor required for projects.

  • Proposal Writing Assistance:
    Help draft sections of technical and commercial proposals, ensuring clarity, completeness, and alignment with client expectations.

  • Client Queries and Interaction Support:
    Support communication with clients by helping address technical queries, clarifying requirements, and ensuring thorough understanding during the tender process.

  • Documentation and Organization:
    Maintain organized records of tender activities, proposals, and communications, ensuring all submissions are accurate and meet deadlines.



Marketing:



  • help prepare marketing materials in collaboration with local and HQ teams

  • Organize and participate in company events 

  • help organize company participation in external events


 


4                    Profile Specifications – Minimum Requirements



  • Bachelor’s degree in Electrical, Civil, or Mechanical Engineering, or a related field. Candidates with a Project Engineering background and a strong interest in commercial roles are encouraged to apply.

  • Society of Engineers membership or eligibility to obtain it - mandatory

  • Prior experience (internships or 1 year of work) in engineering or project management is beneficial, with an openness to transitioning into the commercial aspects of tendering.

  • Strong interpersonal and communication skills, with the ability to work effectively within cross-functional teams and communicate technical details clearly.

  • A high level of attention to detail, particularly when handling multiple tasks in a time-sensitive environment.

  • A proactive approach to learning, with the ambition to develop technically and commercially within the airport engineering sector.

  • Preferably from engineering or business consulting industry. Experience of the airport industry / other transportation industries is a plus.

  • Working exposure on search methodologies.

  • Ability to create and maintain relationships with customers, prospects, suppliers.

  • Proficient with MS Office Suite (Word, PowerPoint, Excel, Outlook)

  • Strong organizational skills, with the ability to balance multiple projects successfully and efficiently

  • Ability to organize and promote an exhibition events and occasionally travel for marketing activities.

  • Experience using Customer Relationship Management (CRM) and Market Assessment Tool (MAT)

  • Energetic and ability to work in a fast paced environment where deadlines are crucial.

  • Excellent communication/Interpersonal skills and the ability to interact effectively with senior level management; strong presentation skills. French language proficiency is a plus.
