About the Role:
As a Onboarding Coordinator you will play a pivotal role in ensuring the smooth functioning of the Onboarding department by overseeing various tasks including coordinating with procurement, Maintenance, Designing department, coordination with third-party contractors, scheduling, and maintaining records.
Responsibilities:
- Coordinate the entire onboarding process for new properties, from initial inspection to final setup.
- Conduct thorough property inspections to ensure they meet Deluxe Holiday Homes’ standards.
- Manage the scheduling and coordination of furniture delivery, installation, and any necessary maintenance or cleaning services.
- Collaborate with the Business Development, Maintenance, Cleaning, and Interior Design teams to ensure timely and efficient property setups.
- Coordinate with the Reservations and Customer Support departments to ensure smooth transitions and readiness for guest occupancy.
- Oversee and manage tasks for housekeeping, maintenance, driver, and purchasing teams.
- Ensure that all teams are aware of their responsibilities and deadlines.
- Monitor progress and provide support to ensure tasks are completed efficiently and to a high standard.
- Optimize routes for all employees to minimize petrol consumption and vehicle usage.
- Combine areas, locations, and tasks to ensure efficient use of resources.
- Monitor vehicle usage and petrol consumption, implementing strategies to reduce costs and improve efficiency.
- Ensure all necessary documentation is completed accurately and filed appropriately.
- Maintain records of property details, inventory, and any maintenance or setup activities.
- Obtain unit permits, move-in permits, move-out permits, and all relevant licenses and permits for smooth access to the properties.
- Maintain communication with building management, facility management companies, and utility providers to ensure seamless operations.
- Conduct final checks on properties to ensure they are guest-ready and meet Deluxe Holiday Homes’ quality standards.
- Identify and address any issues or deficiencies promptly, working with relevant teams to resolve them.
- Continuously evaluate and improve the property onboarding process.
- Provide feedback and suggestions for improving efficiency, quality, and customer satisfaction.

Requirements:
● Minimum of 2 years of experience in property management, Fit Out industry, Facility Management.
● Strong organizational and multitasking skills.
● Excellent communication and interpersonal skills.
● Attention to detail and a commitment to quality.
● Proficiency in Microsoft Office and property management software.
● Ability to work independently and as part of a team
