Job Description - Personal Assistant to CEO/Director

Job Summary

We are seeking a highly organized, proactive, and discreet Personal Assistant to the CEO/Director to provide high-level administrative and personal support. The ideal candidate will manage daily schedules, communications, travel arrangements, and confidential matters while ensuring the smooth operation of the executive office.

Key Responsibilities

  • Manage the CEO/Director’s calendar, appointments, and meeting schedules
  • Screen and handle calls, emails, and correspondence on behalf of the executive
  • Prepare reports, presentations, and briefing documents
  • Arrange domestic and international travel, including visas, flights, and accommodation
  • Coordinate meetings, agendas, and minutes
  • Handle confidential and sensitive information with professionalism
  • Liaise with internal teams, clients, and external stakeholders
  • Assist with personal and business-related tasks as required
  • Track deadlines, follow up on action items, and ensure timely execution

Required Qualifications & Skills

  • Bachelor’s degree in Business Administration or related field preferred
  • 3–5 years of experience as a Personal Assistant, Executive Assistant, or similar role
  • Excellent verbal and written communication skills
  • Strong organizational and time-management abilities
  • Proficiency in MS Office, Google Workspace, and scheduling tools
  • Ability to multitask and work under pressure
  • High level of discretion, integrity, and professionalism

Preferred Attributes

  • Experience supporting C-level executives
  • Strong problem-solving and decision-making skills
  • Ability to work independently with minimal supervision
  • Flexible to travel or work extended hours when required
