Job Description - Sales & Operations Support Executive
We are seeking a highly motivated and detail-oriented Sales & Operations Support Executive to support our sales and operations team in the trading of cement, steel, and other construction materials. The role involves preparing quotations, coordinating shipments, handling documentation, supporting collections, and assisting in sourcing and business development activities. The ideal candidate must be proactive, organized, and capable of troubleshooting operational issues efficiently.
DUTIES AND RESPONSIBILITIES:
Sales & Commercial Support
Prepare and issue quotations, offers, and sales-related documents.
Follow up with customers on quotations, confirmations, and orders.
Support the sales team in day-to-day commercial activities.
Payments & Collections
Follow up on payments, collections, and outstanding receivables with customers.
Coordinate with internal finance and operations teams to ensure timely collections.
Maintain accurate records of payment status.
Operations & Shipping Coordination
Prepare and provide all required shipping and commercial documents for shipments arriving at port, including but not limited to:
Invoice
Packing List
Bill of Lading
Certificate of Origin
Test Reports / Quality Certificates (if applicable)
Coordinate with freight forwarders, shipping lines, port agents, and customers.
Track shipments and proactively resolve any operational or documentation issues.
Meetings & Coordination
Arrange internal and external meetings, including sending meeting invitations and preparing agendas when required.
Maintain proper follow-up and action points after meetings.
Research & Business Development Support
Conduct market research to identify:
New suppliers and sources
New products and opportunities related to construction materials
Support product and supplier development initiatives.
Samples & Technical Coordination
Arrange the dispatch of samples to customers or consultants.
Coordinate with suppliers and logistics teams for sample preparation and delivery.
Problem Solving & Troubleshooting
Proactively identify and resolve operational, documentation, and coordination issues.
Support the team in handling urgent or unexpected situations efficiently.
ESSENTIAL AND DESIRABLE SKILLS:
Experience in trading, construction materials, cement, steel, or commodities is preferred.
Strong organizational and multitasking skills.
Excellent communication skills (written and verbal).
Ability to work under pressure and meet deadlines.
Highly motivated, proactive, and solution oriented.
Strong follow-up and coordination abilities.
Proficient in MS Office (Excel, Word, Outlook).
Ability to work within a team and follow reporting lines.
