Job Description - Senior Associate - Procurement & Contracts

The purpose of this role is to provide centralized administration support for the Procurement & Contracts function.

The main responsibilities of the role include:

Operational Responsibilities:

  • Delivering procurement to the highest standards as expected of Expo City Dubai
  • Data gathering of key supply chain KPI’s, reporting data and delivering action plans.
  • Day-to-day operations of procurement function, working with functional and stakeholder teams in order to achieve high performance standards.
  • Raise Purchase Requests, Contracts Amendments Requests and Budget Transfers as required for dept. requirements
  • Administer the day-to-day operations of procurement and contracts functions, providing support to the team in order to achieve high performance standards;
  • Maintain Contractual records & documentation and report on contract status;
  • Contribute to the successful delivery of the Expo City Dubai program;
  • Maintain and regularly update qualified business suppliers’ database, in line with business needs, to ensure data on suppliers is easily stored, accessed and retrieved;
  • Raise Purchase Requests, Contracts Amendments Requests and Budget Transfers as required for dept. requirements
  • Follow on Budget planning requests and invoices for dept. expenses with Finance
  • Perform any other related duties or assignments as directed by the line manager
  • Provide documentations and process contract extensions, renewals of the consultants within the department.
  • Process submissions of monthly SES for invoices for payment process.
  • Process Change Authorization Requests for the variations on Purchase Orders and contracts.
  • Provide monthly reports on PRs & POs cycle time

Savings and Initiatives:

  • Implement effective cost management techniques and initiatives, and drive cost saving strategic initiatives to ensure that Expo City Dubai gets best value for each dirham spend.
  • Manage pricing and contract negotiations in line with changing business requirements.

Project Delivery and Completion:

  • Adhere to the procurement strategy document for key projects, report progress to ensure alignment to Expo City Dubai overall strategy and objectives.
  • Deliver the procurement process including procurement scheduling activities, scoping and tendering packages, evaluation, negotiation, finalization and production of robust documentation in order to ensure compliance to set procurement policies and processes

Relationship Management:

  • Establish and maintain productive relationships with key stakeholders to ensure engagement in all activities and support for procurement strategy.

Policies and Procedures:

  • Adhere to the procurement function policies, processes and procedures to ensure fulfilmentof legislative / procedure requirements and alignment to operations.
