We are currently seeking a HR Coordinator to join our team based in Dubai.

Your opportunity

As part of HR Shared Services Team in Dubai, you will be responsible for all HR related activities for the Kering brands, and you will be supporting our employees based in MEA region. These activities include transactional activities (HR Operations and Payroll Inputs). You will also be the first point of contact for employees, brand HR and local partners in MEA region in relation to HR topics.

The successful candidate must be well-versed in the HR policies of the brand and region assigned, and keep updated with the local social, and employment laws.

How you will contribute

Reporting to the Head of HR Shared Services and based in our office in Dubai, your responsibilities will include, but are not limited to:

  • Independently manage all hire to retire activities as per company standards within the agreed Service Level Agreement (SLA).
  • Coordinate and implement various HR programs such as medical and education benefits and serve as a liaison between employees, brands and local Partners in acquiring the necessary documentation and tools to permit the new joiner to work, as per local regulations.
  • Ensure that innovative, effective and efficient service delivery is implemented to manage ever changing and increasing customer volumes and needs.
  • Regularly review the administrative processes and ensuring alignment with other HR teams and identifying efficiencies and areas for improvement on a continuous basis
  • Monitor monthly stats for SLAs to ensure compliance with the HRSS service catalogue. Conduct monthly governance meeting with brands and JV partner with KPI reports. Identify gaps (if any) and resolve them.
  • Support the Head of HR Shared Services in delivering the shared services roadmap that includes development of HR policies, procedures, practices, and frameworks
  • Support the wider HR team in holding regular management networking and briefing events, to promote best practice HR process, labor law awareness and use of the internal HR system
  • Be responsible for inducting new joiners into Kering, including shared services activities, workday and Kering connect. Drive the implementation of Kering Corporate induction program which will focus on formalities such as medical insurance, Tawjee training, Emirates ID, bank account creation and medical benefit before deploying new joiners to their respective House.
  • Help with the coordination and facilitation of learning and development events/CSR/employee engagement/employee wellbeing activities.
  • Follow up with JV partner to review the completion of Tawjee training, WPS compliance, Job order quota for Visa.
  • Ensure proactive actions are taken to ensure zero impact to business operations. Ensure no fines are incurred for all government related activities. Ensure timely reconciliation of JV Partner invoices and payment.
  • Manage the administration of all hire to retire activities in accordance with Kering service catalogue and agreed SLA.
  • Ensure document management of employee personnel files of new joiners, amendment during the tenure and separation. Create electronic and paper personnel files and ensure they are kept up to date. Manage the archive of leaver files ensuring a clear system is used for recording the documents’ location
  • Collate and analyse employee / brand feedback to establish effectiveness of service delivery and share the findings with all internal and external service providers. Discuss, agree and implement corrective actions to manage any negative feedback related processes, systems and employees.
  • Responsible for managing the probationary period process for all new starters, including running reports, notifying managers of impending probationary reviews, updating Workday and producing relevant paperwork

Who you are

  • Excellent organizational skills, with an ability to prioritize important projects
  • Proven work experience as an HR generalist, preferably within the HR Shared Services Function
  • Experience of managing complex scenarios and decision making
  • Experience within the luxury retail or fashion industry highly desirable
  • Experience with HR software (Workday is an advantage)
  • Computer literacy (MS Office applications)
  • High customer orientation and strong willingness to ensure employee satisfaction
  • Strong communication skills
  • Qualified BS in Human Resources or relevant field
