Job Description - Admin Assistant

Job Title: Administrative Assistant III
Hybrid: Yes, 3 days in the office
Location: London

Are you a proactive and resilient professional looking for a challenging role in a fast-paced environment? Our client is seeking an experienced Administrative Assistant III to support three Executives in their London office. If you thrive under pressure and enjoy juggling conflicting priorities while maintaining a high standard of work, we want to hear from you!

Key Responsibilities:

  • Efficiently manage calendars for three Executives, ensuring timely scheduling and prioritisation of meetings.
  • Perform moderately complex administrative duties, including handling visitor arrangements and booking conference rooms.
  • Set up and support audio/video conference calls using platforms like Skype, Webex, and Telepresence.
  • utilise basic IT skills to troubleshoot and resolve minor technical issues before escalating to IT support.
  • Regularly interact with senior colleagues and external clients, maintaining professionalism at all times.
  • Assist with onboarding new hires, ensuring a smooth integration into the organisation.
  • Review and edit documents for style and readiness for distribution.
  • Prepare presentation materials and arrange meetings, conferences, and logistical needs.
  • Handle highly sensitive information with discretion and professionalism.
  • Potentially coordinate department security, database administration, and compliance activities.
  • Schedule travel and accommodations, order supplies, and perform a variety of other administrative tasks.
  • Understand and serve as a resource for basic company policies and procedures, including vacation and expense reimbursements.
  • Coordinate updates for EMEA CFO headcounts, distribution lists, and floor plans.
  • Support team members across the EMEA region with various agreed and ad hoc tasks, including expense reimbursement processing and meeting scheduling.

Core Skills:

  • Proven experience in supporting multiple Executives in an administrative capacity.
  • Advanced knowledge of Microsoft Word, Excel, and PowerPoint.
  • Excellent organisational skills with a keen ability to prioritise tasks effectively.
  • Strong attention to detail and a proactive approach to problem-solving.
  • Exceptional communication skills, including a professional telephone manner for dealing with demanding calls and senior management.
