Job Description - Business Support/Administration Manager

Positive Employment is currently recruiting for a Business Support/Administration Manager for our client a local government organisation in Brent.

The successful candidate will help to develop policy and service development, engaging with a wide range of internal and external contacts, and fostering partnership working. Additionally, the role includes managing and leading a high-performance team.

This involves providing comprehensive and efficient business support for Legal Services, supporting members of the Service Management Team (SMT) and the Director of Law, managing the Legal Services Finance and Admin Officers, and assisting the Senior Management Team with financial planning and administration for Legal Services.

This role is a 3 month contract with the possibility to extend. This role is hybrid working.

Duties and Responsibilities but not limited to:

  • Make a positive contribution to the delivery of the service, this will include working flexibly and positively to achieve the objectives of the organisation.
  • Manage and lead staff to achieve high performance and effective operational delivery, including developing and improving staff capability.
  • Manage a customer focused service and the effective use of resources.
  • Support effective working relationships and act as an ambassador and advocate with external organisations.
  • Keep up to date with developments in service delivery and best practice to ensure the service performs effectively and to the highest standards.
  • Support the Director of Law and Senior Management Team in achieving high performance and effective operational delivery from staff within the Business Support Team, while assisting in monitoring and controlling income and expenditure to ensure the service remains within budget.
  • Produce monthly time charge information and invoicing for clients of the service.
  • Manage the Legal Services case management system and assist in collating, evaluating, and reporting on management information, including performance indicators, client feedback, and benchmarking exercises.
  • Coordinate and review the use of ICT equipment in Legal Services, including the time recording and case management system, and maintain the library and information systems.
  • Effectively manage the Director of Law’s diary and phone calls, and handle agendas for SMT and other meetings within Legal Services, attending Senior Management Team
    meetings when required.

Personal Requirements:

  • Knowledge of working with various systems to help facilitate the role including IT systems.
  • Knowledge of issues facing an in-house legal service.
  • Knowledge of financial and management information systems, quality assurance systems, performance management, and marketing.
  • Track record of working with legal officers at senior level within a busy legal department.
  • Experience of assisting with implementing policy and strategy.
  • Ability to assist with developing new procedures policies and ideas for improving Legal Services.

Working Hours: 37hrs / 9:00am - 17:00pm / Monday to Friday

Pay: £31.49 per hr

Please note this role is within the scope of IR35.
