Job Description - Contract Support Administrator

Diamond Search Recruitment are delighted to represent our client in recruiting for this exciting opportunity to join a dynamic and professional services team as a Contract Support Administrator.

Salary: £30,000 per annum
Contract Type: Fixed Term Contract (Until January 2026)

About the Role

The purpose of this role is to provide vital administrative support to the Services team. You will help ensure that day-to-day operations run efficiently by managing scheduling, reporting, client communications, and supporting financial administration.

Key Responsibilities
  • Schedule and monitor the workload of the services team, ensuring engineers are fully utilised

  • Respond to client enquiries via phone and email, assigning tasks to engineers, subcontractors, or managers

  • Administer the company CAFM system and client reporting tools

  • Plan and assign maintenance service visits to engineers and subcontractors

  • Raise and manage subcontractor purchase orders for maintenance activities

  • Chase, record, and issue service reports and quotations to clients

  • Update client electronic systems with relevant information

  • Assist in financial and commercial administration, including purchase orders, invoicing, and reporting

  • Process customer orders, raise sales invoices, and update weekly sales forecasts

  • Act as the initial point of contact for escalations, handling complaints and queries professionally

  • Ensure a full auditable trail for all invoicing, timesheets, and approvals

  • Provide support to the Senior Contract Support during periods of absence or annual leave

  • Carry out any other duties reasonably requested by your Line Manager

Key Skills & Experience
  • Proficient in Microsoft Office (Excel, Word, Outlook).

  • High standard of literacy and numeracy

  • Previous experience in a facilities management or construction environment preferred

  • Strong organisational skills with a flexible and methodical approach

  • Excellent communication and interpersonal skills

  • Ability to manage multiple tasks and priorities in a fast-paced environment
