Join our Transport Department as a Fleet Administrator, where you will be part of a dedicated team ensuring the accuracy and efficiency of our fleet operations. This role is crucial in maintaining our company systems and databases, ensuring all fleet-related activities are up-to-date and compliant.

Day-to-Day of the Role:
  • Vehicle Allocations: Manage the allocation of vans and cars, ensuring accurate records for vehicle changes, deliveries for new starters, collections for leavers, and insurance repairs.
  • Inbound and Outbound Vehicle Management: Handle all new and existing inbound vehicles, coordinate with third parties for vehicle preparation, and ensure all outbound vehicles include necessary documentation and fuel cards.
  • Lease Return Vehicles: Manage the return process of leased vehicles, including arranging collections, inspecting for damages, and updating systems with return information.
  • Fuel Cards and Insurance Claims: Oversee the issuance of fuel cards with correct limits and handle insurance claims, ensuring all details are communicated and updated in the system.
  • Driver Support: Assist with breakdowns, fleet queries, and maintenance issues. Support drivers with fleet-related queries and compliance.
  • Compliance and Documentation: Ensure all vehicles have valid MOT and licenses, maintain fleet data on MID database, and handle compliance checks like ULEZ and tolls.
  • Financial Responsibilities: Manage spend requisitions, raise purchase orders, and approve invoices for fleet-related expenses.
Required Skills & Qualifications:
  • Essential: Full Driving Licence and comfortable moving vehicles including 3.5 tonne lorries around the depot
  • Ideally some fleet coordination or a similar role admin role
  • Excellent organizational and time management skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong communication skills and attention to detail.
  • Knowledge of vehicle compliance and insurance processes.
