Job Description - Fleet Administrator, Bristol Temporary

REED Business Support in Bristol is delighted to be working in conjunction with a business with offices in Bristol in their search for a Fleet Administrator. Providing efficient and effective administrative support to in their workshop, this role is crucial for maintaining their fleet operations and ensuring all processes are compliant and up to date.

  • £13.29 per hour
  • Temporary
  • 37.5 hours per week (Monday to Friday)

Day-to-day of the role:

  • Maintain and file accurate fleet records.
  • Prepare and run fleet system reports.
  • Co-ordinate vehicle services bookings, ensuring all vehicle paperwork is up to date and compliant, including MOTs, services, etc.
  • Process vehicle part orders and record data on deliveries.
  • Conduct stock checks and reconcile stock control.
  • Manage the fleet reception area, including welcoming visitors.
  • Handle the distribution of incoming and organising outgoing fleet post.
  • Raise purchase orders and check goods received notices.
  • Administer requests for fleet personnel PPE.
  • Book MOTs and manage the mobilisation and de-fleet of hire and owned vehicles.
  • Procure fuel and general office supplies.
  • Update CRM with MOT and service dates.
  • Report supplier and departmental recharges.
  • Order fuel cards/fobs.
  • Oversee pool vehicles and their allocation.

Required Skills & Qualifications:

  • Effective communication skills.
  • Numerate and capable of undertaking accurate financial and other calculations.
  • Demonstrable ability to prioritise tasks and manage time effectively to ensure deadlines are met.
  • Ability to work independently, using initiative, and as part of a team.
  • Proficient IT skills with a good working knowledge of word processing (Word or equivalent) and spreadsheets (Excel or equivalent).
  • Willingness to learn new applications and technology as appropriate.

Desirable Skills & Qualifications:

  • Previous fleet administration support experience.
  • Knowledge of and ability to use parts and CRM systems.
  • NVQ in Business Administration.
