Job Description - Instruments Assistant

Job description

We are looking for a proactive and highly organised Materials Assistant to join our theatre team. Working collaboratively with clinical colleagues, you will play a vital role in ensuring the smooth, safe and efficient flow of instruments, materials and supplies throughout the operating department. Your support will be key in maintaining seamless surgical operations and an excellent clinical environment.

Job requirements

In this important support role, you will share responsibility for the receipt, management and organisation of the operating department’s instruments and consumables. You will ensure deliveries are accurate, stock levels are maintained and essential materials reach the right teams at the right time. You’ll also assist with purchasing processes and help maintain compliance with our systems and standards.

Key Responsibilities

  • Check all incoming items against delivery notes, ensuring accuracy, completeness and condition.

  • Distribute goods to the correct locations or departments as specified on purchase orders.

  • Report delivery discrepancies promptly to the Materials Manager.

  • Contact suppliers to follow up on outstanding orders and update the Materials team accordingly.

  • Support quarterly stock takes and undertake ad‑hoc daily inventory counts.

  • Maintain accurate records and ensure compliance with departmental filing systems.

  • Place purchase orders on behalf of Fortius where required.

  • Manage irregular or unexpected workflows calmly and professionally.

  • Carry out any additional ad‑hoc duties as directed by the line manager.

You will be organised, reliable and comfortable working in a fast-paced clinical environment. With excellent attention to detail and strong communication skills, you’ll take pride in ensuring that theatres are equipped to operate smoothly, efficiently and safely.

Qualifications / Skills / Experience

Essential/Desirable

Good communication skills, including written and spoken English

IT literate – proficient in Excel and Word

Inventory management experience

Theatre experience – orthopaedic instruments

Ability to work effectively with staff at all levels

Experience using computerised stock control and ordering systems

Quality‑orientated with strong attention to detail

Able to remain calm under pressure
