Job Description - Office Admin / Coordinator

Office Administrator / Coordinator - TEMP TO PERM

?? Location: Guildhall, London (Hybrid – 3 days in office, Monday to Thursday)

?? Pay Rate: £20.21 - £21.05 PAYE / £26.93 - £28.05 Umbrella

?? Contract Type: Temporary to Permanent

?? Permanent Salary: £38,400 per annum

About the Role

My client an established Local Authority are seeking a proactive and highly organised Office Administrator/Coordinator to join the Director’s Office for Innovation & Growth .

This is a hybrid role based at the historic Guildhall, offering the opportunity to support senior leadership and contribute to high-impact projects that shape the future of London’s financial and professional services sector.

Key Responsibilities

  • Provide comprehensive administrative and operational support to the Executive Director and wider Innovation & Growth team.

  • Coordinate briefings, stakeholder engagement activities, and departmental governance.

  • Maintain and develop robust administrative systems and data management tools.

  • Support diary management, meeting coordination, and event logistics.

  • Assist with budget monitoring, purchase orders, and expense submissions.

  • Manage CRM data entry (City Dynamics) and support internal reporting.

  • Provide logistical support for overseas travel and business events.

  • Collaborate across teams to support strategic relationships with government, business, and financial institutions.

Candidate Requirements

  • Proven experience in office administration and executive support.

  • Strong organisational and multitasking skills with a positive, can-do attitude.

  • High proficiency in Microsoft Office and CRM systems (preferably Microsoft Dynamics).

  • Excellent written and verbal communication skills.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Experience with budget administration and financial processes.

  • Knowledge of the UK financial and professional services sector is desirable.

  • Familiarity with tools like Mailchimp or Survey Monkey is a plus.

Additional Information

  • Some flexibility is required for occasional events outside normal working hours.

  • Ideal for candidates with a background in team administration, EA support, and stakeholder coordination.
