Job Description - PA to the Director

We are seeking an immediately available PA, to fulfil a temporary role, with a leading research facility based on the Cambridge Biomedical Campus.

As PA to the Director, you will be responsible for providing administrative and PA support to the Director and Senior Management Team.

Applicants will need to be able to demonstrate proven experience of supporting and assisting at Director level. You will need to show excellent communication and interpersonal skills, attention to detail, and a "can do" attitude.

This is a temporary role to start asap for approx. 2-3 months. Working hours are 36.5 per week, and hybrid working is available. You will need to show a willingness to work flexibly to meet the demands of the role.

Key Responsibilities

  • Manage daily incoming information, open, read and act on mail and e-mails received and circulate and respond to information
  • Diary management
  • Coordinate potentially complicated travel arrangements
  • Arrange meetings as required (including venues and catering)
  • Read agendas for meetings, flag any information that requires the Directors attention, ensure all relevant documents and files are available
  • Act as meeting secretary for standing meetings: prepare agendas and papers, take minutes, circulate and follow up any action points
  • Handle expenses claims
  • Maintain filing system, including confidential files, committee papers and records to enable easy access and retrieval of documents

Key Skills and Experience

  • Proven experience of supporting and assisting at Director level
  • Excellent organisational skills, confident and proactive, with the ability to work using own initiative and judgement
  • Strong communication and interpersonal skills with confidence to deal with people at every level
  • Discretion and diplomacy in dealing with confidential information and sensitive issues and high-profile contacts
  • High standards of accuracy and attention to detail
  • Excellent written communication skills to draft letters, briefing notes etc.
  • Highly competent in standard software packages, e.g. Word, Excel, PowerPoint and Outlook
  • Strong team working skills and a willingness to assist others in their work
  • Willingness to work flexibly to meet the demands of the role
