Job Description - Purchase Ledger

Purchase Ledger Clerk

Location: Southampton
Role: Full time, Temporary - 4 months (must be available for the full duration)

Job Purpose:

To help the accounts team with the purchase ledger function of a vehicle dealership, ensuring accurate and timely processing of supplier invoices, reconciliation of statements, and maintenance of strong relationships with suppliers and internal departments.

Key Responsibilities:
  • Process high volumes of purchase invoices, including vehicle purchases, parts, and service-related costs.
  • Match invoices to purchase orders and delivery notes.
  • Reconcile supplier statements and resolve discrepancies promptly.
  • Prepare and process weekly/monthly payment runs.
  • Maintain accurate and up-to-date supplier records.
  • Liaise with the parts and service departments to resolve invoice queries.
  • Assist with month-end closing procedures, including accruals and reporting.
  • Ensure compliance with internal controls and company policies.
  • Support the wider finance team with ad hoc duties as required.
Skills & Experience:
  • Previous experience in a purchase ledger or accounts payable role, ideally within the motor trade.
  • Strong attention to detail and accuracy.
  • Good working knowledge of accounting software (e.g., Kerridge, Pinnacle, Sage, or similar).
  • Proficient in Microsoft Excel and other Office applications.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Legal rights to work in the UK
Desirable:
  • Experience with vehicle invoicing and dealership systems.
  • AAT qualification or working towards one.
