Job Description - Temporary PA

The Role:

Working 2-3 days per week this is a temporary part OR full time PA / Administrator to assist our client during a busy time with a project. Days are flexible and hybrid working is available after training. This is a busy administration role where your duties are varied. Your role will be to support the smooth operation of the team, assisting with governance tasks, supporting communications and events, and managing various office functions. This role includes working across different areas of the charity

Responsibilities will include:

  • Arrange internal team meetings, training days, and quarterly board meetings, ensuring all necessary information is disseminated to participants.
  • Take minutes during meetings and create action lists for follow-up.
  • Coordinate team wellbeing and social events, fostering a positive team environment.
  • Assist the communications team with event planning and volunteer coordination.
  • Organise and maintain a team calendar of important dates such as insurance renewals, training schedules, and deadlines.
  • Manage office supplies, including ordering stationery and other materials, and liaising with suppliers.
  • Maintain office equipment inventory, including IT equipment, and liaise with landlords/building managers as needed.
  • Assist with the preparation and dissemination of board meeting information.
  • Coordinate recruitment and onboarding of new staff, ensuring all necessary paperwork and training is completed.
  • Scan, email, and file documents as required.
  • Assist in arranging and booking training for staff and volunteers.
  • Support with general administrative tasks and other ad-hoc duties as required.

The Person:

For this role our client is looking for an experienced Administrator or PA who has superb IT skills. Ideally you will have gained experience in a not for profit organisation but this isn’t essential. They are also wanting someone who has strong organisational and time management skills, with the ability to manage multiple tasks and deadlines.

Other key skills and experience is:

    • Excellent communication skills, both written and verbal, with the ability to interact effectively with a variety of stakeholders.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and general office software.
    • Ability to handle sensitive information with discretion and confidentiality.
    • Proactive, flexible, and able to work independently as well as part of a team.
    • Detail-oriented, with a strong commitment to accuracy and high standards.
    • Positive attitude, approachable, and eager to contribute

The Pay:

C£14 per hour

The Hours:

3 days per week (flexible on days) or FULL TIME

The Location:

Central Bristol (no car parking) with some hybrid working after training
