Job Description - Travel and Expenses Coordinator / EA

  • Location: City of London / Liverpool Street
  • Job Type: Interim - 12 months
  • Working arrangement: Fully office based
  • Rate: £200 to £225 per day Umbrella

We are delighted to be working with our prestigious Investment banking client, Credit Agricole, who are seeking a Travel and Expenses Coordinator on an interim basis. In essence it is a Junior EA/PA, responsible for arranging travel, processing expenses, and general office administration under the direction of the UK COO. The role involves close collaboration with the Travel Management and Expenses team and the PA desk.

Day-to-day of the role:
  • Coordinate and book all aspects of business travel, including flights, Eurostar trains, accommodation, and processing visas, primarily to Paris, New York, and Hong Kong.
  • Manage pre-travel approvals and maintain a GMD Travel Database with traveller details, preferences, and trip records.
  • Produce detailed travel itineraries and manage the GMD Addison Lee Account for taxi bookings.
  • Process travel and other expenses in adherence to the T&E policy, ensuring timely processing and approval.
  • Handle invoice processing for payment and book restaurants and venues for staff/client entertainment.
  • Stay updated on COVID-19 travel restrictions, including air bridges and quarantine requirements.
  • Attend external travel events to enhance travel management knowledge.
  • Provide administrative support including telephone cover, raising purchase requests, managing stationery supplies, and assisting with staff engagement initiatives.
  • Support the GMD PA team and contribute to enhancing travel management and floor support processes.
Required Skills & Qualifications:
  • 2+ years of office-based EA/ PA experience, with some experience in travel arrangements preferred but not essential
  • Strong interpersonal skills with a customer service-oriented approach.
  • Excellent telephone manner and time management skills.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and communication platforms like Microsoft Teams, Zoom, and WebEx.
  • Ability to work effectively in a large and busy office environment.
  • Proactive, willing to learn and develop, with good attention to detail and organisational skills.
