Job Description - Administration Assistant

Vanrath are recruiting for an Administration Assistant- Major Projects on behalf of a large public sector company in Carrickfergus on a temporary basis.



What's in it for you?

About your next employer
The post holder will be responsible for the provision of a wide-ranging, professional and confidential administrative support to the staff of the Major Projects Team with regard to all aspects of the service area.
The Major Projects Team are responsible for the delivery of the Mid and East Antrim Borough Council City Deal Programme and regeneration of St Patricks Barracks.
The post holder will be responsible for ensuring the day-to-day administrative activities are completed on time and to a high standard of accuracy and quality. What you'll do

    • Provide administrative support to staff within the Major Projects Team which will include diary management including scheduling appointments, screening emails and taking appropriate actions as required.
    • Carry out duties in respect of the general administrative support functions for the Major Projects Team, including word processing, filing, raising purchase orders, processing of invoices, drafting letters, handling emails/telephone calls, enquiries and requests, taking appropriate actions as required.
    • Deal with queries from public and community groups in respect of areas of service delivery.
    • Assist with the preparation of presentations, agendas, and other project materials.
    • Attend meetings and functions in an administrative capacity to record and issue minutes.
    • Assist with the organisation of training sessions, meetings and conferences relating to the work of the Major Projects Team, ensuring that the appropriate equipment is available as required.
    • Assist with the production of marketing and promotional material.
    • Monitor the relevant Council webpage ensuring project information is up to date.
    • Assist with the delivery of the Social Value plans for projects.
    • Liaise with other council departments in the delivery of the projects.
    • Such other duties as may be allocated from time to time within the general ambit of the post.
    • Adhere to and comply with all Council policies and procedures relevant to this role, including arrangements for risk management.
    • Participate in the formulation, implementation and evaluation of the Department Business Plan and relevant Service Plans responding to changing trends and citizen needs.
    • Achieve high standards of personal performance, through meeting agreed personal targets and undertaking planned programmes of professional development.
    • Examine opportunities to gain efficiencies and improve effectiveness including collaborative partnerships, joint working and other innovative approaches to achieve best value in the use of public money.

About you
Applicants must:

  • Have a minimum of 5 GCSEs to include English Language and Maths (grade C or above) or equivalent qualifications to demonstrate literacy and numeracy


AND Be able to demonstrate, by providing personal and specific examples, that they have two years' administrative experience in a busy office environment , to include:

  • The ability to deal efficiently with large volumes of work
  • Successfully prioritising competing demands


OR, for candidates who do not meet the qualification requirements as outlined above: Be able to demonstrate, by providing personal and specific examples, a minimum of four years' administrative experience in a busy office environment , to include:

  • The ability to deal efficiently with large volumes of work
  • Successfully prioritising competing demands
