Administrative Support Assistant Location Swansea :
Job Summary:
The Administrative Support Assistant will play a crucial role in the daily operations of our clinic. This position involves a variety of administrative and clerical tasks to support the clinic's operations, including managing patient records, scheduling appointments, handling billing and insurance claims, and providing excellent customer service to our patients.
Key Responsibilities:
- Tele Communication: Greet patients in a professional and friendly manner. Answer phone calls, respond to emails, and handle patient inquiries.
- Scheduling Appointments: Manage the clinic's appointment calendar, schedule patient appointments, and send reminders.
- Patient Records Management: Maintain and update patient records, ensuring confidentiality and accuracy. Handle the filing and retrieval of patient documents.
- Billing and Insurance: Process patient billing, handle insurance claims, and follow up on outstanding payments. Assist patients with billing and insurance-related questions.
- Administrative Support: Provide general administrative support to the clinic staff, including photocopying, scanning, faxing, and data entry.
- Inventory Management: Monitor and order office and medical supplies as needed. Ensure the clinic is well-stocked and organized.
- Office Cleanliness: Maintain the cleanliness and organization of the reception area and administrative offices.
- Customer Service: Deliver high-quality customer service to patients, addressing their needs and concerns promptly and professionally.
Qualifications:
- Education: High school diploma or equivalent required.
- Experience: Previous experience in an administrative role, preferably in a healthcare setting, is highly desirable.
- Skills:
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with electronic medical records (EMR) systems is a plus.
- Ability to handle sensitive and confidential information with discretion.
- Strong attention to detail and problem-solving skills.
