Job Description - Business & Enterprise Administrator

Role: Business & Enterprise Administrator

Grade and Salary: Grade 5, £25,138 - £29,605 per annum

FTE and working pattern: 1 FTE, 35hrs per week, Monday - Friday

Holiday Entitlement: 28 days annual leaveplus 9 buildings closed days (and Christmas Eve when it falls on a weekday)

Purpose of Role

The post-holder will provide administrative support to the Business & Enterprise Directorate and will report to the Enterprise Co-ordinator.

Key Duties & Responsibilities

To provide support to the Business & Enterprise Directorate through the following:

  • Provide proactive, effective, and efficient administrative support across the Directorate.
  • Manage diaries, including support for the Chief Entrepreneurial Executive’s calendar, schedule of meetings and events attendance.
  • Understand the key priorities and responsibilities of the Chief Entrepreneurial Executive to inform the provision of dedicated administrative support.
  • Assist in the preparation of reports, presentations, and agenda.
  • Set up internal and external partnering meetings and take minutes/record actions.
  • Support organising internal and external seminars, training events and conferences.
  • Book and monitor use of facilities in support of meetings and partnering events.
  • Support the Enterprise Coordinator in liaising with organisational members of GRID.
  • Undertake ordering and payment, including for travel,office supplies and catering,and monitor spend, including through use of the ERP financial system.
  • Process documents and maintain databases and filing systems.
  • Handle a demanding and varied workload, prioritizing conflicting tasks.
  • Screen and judge when to respond to queries on behalf of line manager, including in response to communications received within the GRID in-box.
  • Open, prioritize and assign electronic and hard-copy mail.
  • Demonstrate excellent communication, negotiation and influencing skills.
  • Adapt to fast-changing requirements arising from the Directorate’s operational environment.
  • Find solutions to problems, often acting on own initiative.
  • Provide a ‘front of house’ servicefor the Directorate and ensure a high standard in the presentation of its environment.
  • Keep working area clean and tidy in line with H&S requirements.
  • Create a positive image of the University by being responsive, prompt, and courteous when responding to requests or enquiries from customers.

Other duties may be required of the post-holder which are not outlined above but which are appropriate to the position and grade.

  • Experience of working within a similar environment as outlined above.
  • Competent in the use of relevant IT packages.
  • Well-developed interpersonal skills.
  • Demonstrable professional and proactive approach.
  • Demonstrable ability to work quickly, flexibly, and accurately in a dynamic, changing environment.
  • Experience of team working and effectiveness as a good team player.
  • Demonstrable provision of excellent customer service.
  • Experience of liaison and of developing strong networks at all levels (internal and external).

Knowledge, Skills & Experience

  • Ability and willingness to learn new digital skills and capabilities appropriate to your role and how it evolves.
  • Understand and adhere to information security practices particularly as it relates to personal or sensitive information.
  • Maintain awareness of my own digital wellbeing by being mindful of the length of time spent at a screen and the impact on mental and physical health in using digital technologies.
