B2B Events exists to bring together buyers and sellers in a specific marketplace. It achieves this by capitalising on the access to markets that our media brands deliver and deepens the engagement of these markets in our business. The team of 12 event specialists deliver over 50 events per year which generates more than 70% of B2B profits.

The focus of your role:

An exciting Event Administrator role has arisen within the B2B events department working across three titles – AM (Automotive Management), Fleet News and RAIL . Whilst primarily the role is within the Awards and Dinners team, there may be occasions where you will be required to work alongside our B2B Exhibition and Conference teams.

We are looking for an enthusiastic and energetic Event Administrator to provide administrative support in our busy events team based in Peterborough. The ideal candidate will have previous administration and ideally events experience, along with the ability to communicate confidently, both verbally and in writing.

You will be working within the events team in the day-to-day administration of a wide portfolio of events including prestigious black-tie awards evenings and networking dinners. The ideal candidate will have excellent organisational skills, the ability to prioritise and work on multiple projects simultaneously, and the ability to manage their time effectively, have a very keen eye for detail and work well within a small team.

Key Responsibilities:

  • Abilty to confidently input financial data into internal commercial reporting documents and provide accurate reporting when required of latest bookings and sponsorship revenue.
  • Responsibility for awards judging process, including liaising with all internal and external stakeholders, chase entries to ensure deadlines are met, liaising with judges, arrange interviews, etc.
  • Accurate inputting of all delegate booking information into booking system.
  • Accurate inputting of all delegate information onto Bauer finance system (Adpoint), processing and sending invoices and receipts to delegates/sponsors.
  • Collate delegate booking information for meetings and reports.
  • Take minutes at weekly event meetings.
  • Assist event manager with delivering marketing and communications plan for each upcoming event.
  • Update event websites with content.
  • Assist with receiving and paying invoices to delegates and event suppliers using internal systems.
  • Responsible for securing payment of events by delegates/sponsors prior to the event.
  • Assist with event build-up, i.e. preparing any collateral required for onsite.
  • Assisting with various duties as requested by the Event Manager (and team) either pre-event or at an event. Primarily on the Awards & Dinners team, but duties could extend to assisting the exhibition and conference teams.

What you will bring: 

  • Excellent communication skills internally, within the team, and externally, to delegates, guests, sponsors, exhibitors, speakers, etc.
  • Initiative to complete, within a time frame, a task and overcome obstacles.
  • Strong and accurate attention to detail in all work, particularly pre-event administration and invoicing.
  • Professional manner and attitude at all times, especially in conduct and behaviour at an event, with care and attention to how behaviour can be perceived.
  • Ability to plan your own workload and work unsupervised.
  • Self-motivated and enthusiastic about tasks and assisting the team – in particular through busy periods.
  • Excellent telephone skills and the ability to liaise with delegates or internal and external suppliers.
  • Strong organisational skills, including the ability to identify, plan and work to short and long term objectives, and to work under pressure and to ensure deadlines are met and objectives achieved.
  • Commitment to the aims and objectives of the Bauer Media B2B Events Team.
