Administration Clerk Location Colchester :
Job Summary:We are seeking for a reliable, flexible, dynamic, detail-oriented and organized candidate to support admin and deal with Playgroup correspondence as we are a small charity.
Approximately 16 hours per week depending on the term times as some parts of the year are busier than others. Part-time hours - we can be flexible to suit the right candidate. A fixed yearly contract will be given on employment date and it will be subject to flexible hours. Salary - open for discussion depending on qualification and experiences.
Responsibilities:
The ideal candidate will assist in daily office tasks, provide clerical support, and ensure efficient operations.
- Manage incoming and outgoing correspondence.
- Utilize QuickBooks for basic bookkeeping tasks - send invoices for lunchtime fees and session fees .
- Assist in organizing and maintaining paper and electronic files.
- Proficiency in using computerized systems for data entry and office tasks e.g. Word, Excel, emails.
- Chase unpaid invoices, collect, count and bank cash into our account
- Update online accounts of: expenses, income and upload receipt on QuickBooks to keep accounts updated
- Keep filing records of all invoices and receipts for records in order.
- Liaise with wages/ statements and receipts
- Oversee paperwork being given for book keeping and cash flow records
- Pay bills/cheques using the online banking system
- Ordering of resources, food (snacks), supplies of the setting
- Complete monthly milk claims checking register, ordering milk to the setting
- Print out, collect and complete funding forms once a term and file forms in children's file
- Answer emails, assisting with waiting lists and general admissions . Liaise with manager of any changing in hours/fees
- Bookings for school visits, trips, sponsor walks
- Complete Funding Platform
- To attend staff meetings and Director meetings, training and correspond with any information we know.
- Fill out termly e-vouchers
- Maintaining our website by updating and changes if needed

- Qualification/ or previous experience on book keeping and accounts
