Job Description - Service Department Administrator

Job Summary:

The Service Department Administrator will report directly to theService Director, with additional responsibilities assigned to service and warranty managers. This new role is vital to the success of this bustling,nationally-acclaimed and award-winning automotive dealership in Northern NewJersey, working with Ford andLincoln vehicles, and Ford Trucks. The successful candidate must demonstrate an ability to work in a team-oriented environment, multi-taskandportray an authority role when needed toenforcethe handling and processing of documentation.

General hours of operation are 6:30 am - 7:00 pm. Overtime may be required at peak times and candidates must be available to work on Saturdays, especially the last Saturday of the month,in order to close month end.

Job Accountabilities include (but are not limited to):

Administration

  • Ability to form structure of document control programs to aid with open repair invoices (Repair Orders).
  • Process repair orders.
  • Process payroll.
  • Manage cashiering responsibilities.
  • Filewarranty claims.
  • Manage documents, internal billing and other generaladministrative duties.

Education and Training

  • Maintain required certifications and qualifications as per Ford Motor Company and Maplecrest Ford Lincoln.

  • Attend service meetings and training sessions, including on-line and/or computer-based self-study courses.
  • Demonstrate behaviors consistent with the Company's Vision, Mission and Values in all interactions with customers, co-workers, vendors and suppliers.
  • Adhere to all company policies, procedures and safety standards.

Requirements:

  • Self motivated to fulfilltasks.
  • Ability to form structure of document control programs to aid with open repair invoices (Repair Orders).
  • Associates Degree
  • Working knowledge of Excel and Google Docs
  • Exceptional interpersonal, verbal and written communication skills
  • Strong organization and follow-up skills
  • Exceptional attention to detail
  • Positive attitude, self-motivated and eager to contribute
  • Spanish speaking a plus
