Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit an Executive Education Administrator for an initial 3 month contract on a rate of £13.85/hour PAYE working 35 hours per week.

Responsibilities:

- Responsible for activity logistics and project planning spanning in-person delivery (venue/room booking and set up, accommodation, organising social programmes) and hybrid/online delivery (working with online virtual learning environments such as FutureLearn, setting up and facilitating online live sessions in Zoom/Teams and working with pre-recorded content videos and video hosting platforms, liaising with captioning and transcription suppliers). Other tasks include faculty liaison (including briefings and diary management); client liaison (customer service and enquiry handling); ensuring multiple activities are kept on schedule and will deliver to the identified client and project milestones; supervising casual staff/suppliers who may be assisting at activities; taking action minutes at team and client meetings; creating and managing pre, during and post activity evaluation and reporting; and working collaboratively with colleagues working on other projects.

- Being the first port of call for telephone and email enquiries (via the shared inbox), providing information, advice and support to customers, internal contacts and prospective clients and learners. This includes handling queries, dealing with complaints or change requests, finding out information and escalating queries that can’t be dealt with personally.

- Actively contribute to the development and delivery of sales and marketing plans for executive education programmes, working with colleagues in the School’s Marketing and Communications team, and other internal and external suppliers. Be responsible for managing timelines and ensuring that deadlines are met. Tasks could include supporting the creation and distribution of marketing material, attendance at conferences and exhibitions, making updates to the School’s website, coordinating material to send out in direct marketing messages and supporting the development of material to include in tender responses and other enquiries.

- Work with colleagues to ensure the accurate and responsible management of financial activity. This includes monitoring and updating expenditure against agreed activity budgets and reporting back with updates/issues to the line manager; setting up online booking and payment mechanisms (e.g. Epay and Eventbrite) for programmes that require card payments; facilitating the raising of invoices when card payments are not an option; and supporting the set up of new suppliers and clients for payment and invoicing, gathering information required, raising POs, reviewing supplier invoices and sending for payment.

- Carry out other reasonable duties, as appropriate to the post, and requested by the line manager

Essential Skills:

- Vocational qualification (N/SVQ 3, ONC or equivalent) plus typically 2 years’ work experience in a relevant role OR school education to standard grade OR equivalent plus typically 3 years’ relevant work experience.

- Excellent IT skills and in-depth knowledge of MS Office and Teams.

- Experience of organising corporate events and/or delivering executive education online, hybrid and in-person.

- Experience of online registration/payment portals.

- Experience of online learning environment software systems and platforms.

- Experience of online meeting facilitation tools such as Teams and Zoom.

- Experience of working with pre-recorded videos (including basic editing abilities), video hosting platforms and working with captioning and transcription files.

- An ability to learn how to use new web-based (and other IT) packages quickly and efficiently.

- Demonstrably excellent organisational, planning skills and time management skills, and the ability/energy to sustain a high level of performance and accuracy whilst handling several substantial activities and deadlines at the same time.

- Excellent communication and interpersonal skills both, in writing and in person, with a proven ability to give clear and professional guidance and advice to University colleagues and externals.

- Flexible approach to workload, experience of working and responding independently, using initiative and dealing with unforeseen problems and circumstances, and a proactive approach to seeking out information.

- Professional and confident manner with good negotiating skills.

- The capacity to remain calm and work effectively under pressure, with a client, participant and faculty focused approach.

Desirable Skills:

- Experience of working in a University environment.

- Good knowledge of the work practices, processes, standards, regulations and procedures involved in University credit-bearing activity administration.

- Experience of working in a multicultural environment and comfortable dealing with a diverse, mature mix of participants and clients.

- Project management experience and training.

- Copywriting, proofing and editing skills.

- Experience of the creation of engaging marketing collateral.

- Current and relevant knowledge of digital and social communications.

- A drive for continuous improvement by identifying and/or assisting in the development and implementation of changes to all activities within the Executive Development Team.
