Job Description - Institute Administrator

Institute Administrator Location Glasgow : Salary range: £31,396 - £34,980 per annum FTE: 1.0 (35 hours per week) Term: Fixed (24 months) Closing date: Thursday, 6 June 2024 The Department of Electronic and Electrical Engineering seeks to appoint an Institute Administrator to support academic and research staff, project portfolio and research facilities within the internationally recognised Institute for Energy & Environment (InstEE). InstEE is one of the largest electrical power engineering and energy technology university research groups in Europe, with a multi-million pound portfolio of activities, and has been recognised as making a leading contribution to the global transition to net zero. Its 200+ staff and researchers undertake a balanced portfolio of basic, strategic and applied research, covering the key technical and policy aspects of energy systems as well as other sectors undergoing electrification. It provides an extensive range of services to industry, international partners and the public sector, including research collaboration, knowledge exchange, continual professional development and consultancy services. The successful candidate will receive job-related training and on-going support from department, faculty and institutional colleagues. With a wide range of administrative duties and responsibilities, the successful candidate will provide administrative support to InstEE and group directors, staff and research students. Responsibilities will span financial administration on research programmes and projects, internal and external partner engagements, administration for teams/centres and working groups, coordinating researcher reviews, procurement matters, and managing events as required. Given the large nature of the institute, key skills in delivering management systems and administrative procedures that support the professional operation of the Institute will be essential. To be considered for this role you will be educated to a minimum of Higher-grade level or equivalent, with previous work and leadership experience relevant to the aforementioned responsibilities. You will be IT literate, with a high degree of competence in Microsoft Office packages, particularly Word, Outlook, Excel and Sharepoint, and you will have excellent numeracy and literacy skills. You will have excellent skills in verbal and written communication, and in interpersonal and team working. You should also be experienced in organising your own and team members' workload within a busy office environment, and you will have an ability to work under pressure using your own initiative. Whilst not essential for the role, applications are welcomed from candidates with: experience of working in an HE environment, or similar; and from candidates with familiarity of University procedures and regulations (e.g. research student business, finance, purchasing/procurement).
