Job Description - Human Resources Admin Assistant

Job description

The HR Placement will be responsible for assisting in a variety of HR generalist tasks to support the delivery of an efficient and effective HR service. The role will be responsible for providing administrative support for the HR function to include the following areas: Recruitment & Selection, Inductions, Training & Development, Payroll, Employee Relations, HR Policies & Processes, HR Systems & Projects. .

Responsibilities

  • Record, organise and maintain the administration of HR activities and data in an efficient, effective and confidential manner.
  • Maintain and update all relevant employee personal data in line with the company's GDPR policy.
  • Support the HR team and Monitoring Officer to complete Equality Commission monitoring requirements by collecting monitoring information for applicants and entering data into the HR system.
  • Undertake administrative activities linked to the employee lifecycle (new starts, internal movers and leavers) e.g. preparation of offer packs, arranging occupational health appointments, processing of invoices, creating personnel files etc.
  • Assist the HR team in coordinating interviews, liaising with recruitment agencies, creation of schedules, preparing interview packs and representing the HR department on interview panels where appropriate.
  • Help maintain site training matrix and ensure training files are up to date.
  • Assist the HR team and line managers to arrange inductions for new starts and deliver HR inductions as required.
  • Assist with weekly payroll preparation.
  • Provide full cover for the Payroll Administrator when required ensuring that weekly payroll is processed to meet the deadline including ensuring that all appropriate reports (pensions etc) are submitted.
  • Ensure GDPR compliance through the regular audit and data cleanse of hard and soft documents.
  • Effective use of HR systems to include the running of reports as required.
  • Continuously seek to improve HR processes through sharing ideas and assisting in improvement projects.
  • Act, alongside the HR & Payroll Team members, as a first point of contact for enquiries, and respond to or refer enquiries as appropriate.
  • Act in a confidential and trustworthy manner at all times.
  • Participate as a member of the HR team and in all HR activities when required.
  • Take reasonable care for the health and safety of self and others, ensuring compliance with safety regulations in area of responsibility, in line with all relevant Health and Safety legislation.
  • Develop own performance by completing relevant learning and development activities.
