Job Description - Admin Assistant - Opportunity to Make a Difference

We are in need of an experienced Admin Assistant to join our awesome team at Multi-Trades Recruitment in St. Helens, Merseyside.

Temporary Administration Assistant required from Wednesday the 15th until Friday the 24th of May.

This role is for holiday cover and would provide a great experience for someone looking to gain College/School experience.

Working hours will be 8.30 am - 4.30 pm.

Please note you will need an Enhanced DBS for this position. please do not apply if you don't have one.

Responsibilities:

  • Photocopying for different teams and departments ensuring deadlines are adhered to and copying charges are logged with the correct team. Copying can be simple copying eg double sided, to more complex requests.
  • Logging internal jobs with correct teams when required eg IT jobs if photocopier needs attention
  • Operating the college switchboard - answering calls and dealing with enquiries, forwarding and transferring to calls to staff, taking and passing messages onto the relevant staff, logging student absences on college systems, managing voice messages.
  • Dealing with incoming emails from parents, staff and others and forwarding on as required.
  • Greeting visitors, ensuring they are signed in line with safeguarding procedures and making their host aware they have arrived, issuing passes to them.
  • Logging deliveries and parcels to the college.
  • Calling for first aid support when notified.
  • Use college systems as directed including logging student information.
  • Managing incoming mail, sorting and distributing including specialist mail such as exam-related mail, and organising outgoing mail including franking letters.
  • Provide bus passes to students, logging details appropriately.
