About the Role Our client is seeking a highly organised and methodical Administration Assistant to join their dynamic Fleet team in Bristol. This role offers an exciting opportunity to be at the heart of vehicle administration, maintenance, and compliance processes. Key Responsibilities As an Administration Assistant, your day-to-day tasks will include:
Providing comprehensive administrative support to the Fleet team. Maintaining accurate vehicle, maintenance, and compliance records. Supporting the coordination of vehicle MOTs, inspections, and associated documentation. Assisting with driving licence checks and general vehicle administration. Raising purchase orders and processing invoices. Helping to resolve invoice discrepancies and queries. Supporting fuel card administration and coordinating vehicle hire processes. Assisting with the on-boarding of new vehicles and managing vehicle disposal. Liaising with internal teams, workshops, and other stakeholders. Keeping databases and internal systems accurate and up-to-date. Assisting with monthly KPI reporting and maintaining documentation. Following established processes to ensure tasks are completed accurately and on time.What We're Looking For The successful candidate will ideally possess:
Previous experience in an administration or business support role. Excellent attention to detail and accuracy. A methodical and process-driven approach to work. Strong organisational and time-management skills. The ability to manage multiple priorities and meet deadlines. Proficiency in Microsoft Office and general IT skills. Confidence in working with databases and internal systems. Good communication skills and the ability to work effectively both independently and as part of a team. A reliable, adaptable, and proactive approach. The confidence to ask questions and seek support when needed.While previous experience in fleet, transport, or logistics administration is beneficial, it is not essential. The underlying role profile highlights the importance of organisation, accuracy, record management, planning, communication, teamwork, and IT literacy.
Working Arrangements This is a full-time hybrid position, with the team currently alternating between two and three office days per week during the initial on-boarding period. Once fully capable in the role, the expectation is approximately two days per week in the office. Flexibility around working hours is available, with typical patterns around 8 am to 4 pm or 9 am to 5 pm.
