Job Description - Administration Officer - Highways




Business Support Administrator – 3 month Contract








Location: County Hall, Chichester



Rate: £17.26 per hour (Umbrella)



Working Pattern: Hybrid – Office days Tuesday and Thursday



Contract: 3 months



Pay: Bi-weekly







Summary








The Business Support Administrator plays a crucial role in delivering efficient and customer-focused administrative support to meet team and service objectives. Reporting to a Team Leader, the role involves managing a diverse workload, prioritizing tasks to meet deadlines, and maintaining high standards of accuracy and professionalism. This position is essential for supporting operational service delivery through comprehensive administrative, financial, and organizational assistance.







Responsibilities









  • Administrative Support

    • Provide high-quality administrative support across the service area.

    • Prioritize daily tasks in line with team objectives and deadlines.

    • Produce accurate correspondence, reports, and documentation.

    • Maintain organized records and filing systems.






  • Meetings & Events

    • Organize and coordinate large-scale meetings and events.

    • Arrange venues, schedules, agendas, and supporting documentation.

    • Prepare and distribute meeting papers.

    • Produce accurate and comprehensive meeting minutes.






  • Information Management

    • Collate, analyze, and present information in clear and accessible formats.

    • Prepare reports, spreadsheets, and performance information.

    • Manage shared email inboxes and respond to enquiries appropriately.

    • Maintain and update Council systems and databases.






  • Statutory & Financial Administration

    • Process statutory requests within required timescales.

    • Complete complex administrative processes and documentation.

    • Provide financial administrative support, including maintaining records and processing transactions.

    • Support compliance with internal procedures and statutory requirements.






  • Customer Service

    • Act as a point of contact for internal and external customers.

    • Handle telephone enquiries professionally and efficiently.

    • Provide clear and accurate information to service users and stakeholders.

    • Deliver a responsive and customer-focused service.






  • Systems & Service Support

    • Update websites and Council IT systems as required.

    • Support service improvement initiatives.

    • Assist colleagues and managers in achieving team objectives.

    • Adapt to changing service requirements where necessary.








Requirements



Requirements:








  • Knowledge

    • Understanding of administrative processes and office procedures.

    • Knowledge of customer service principles.

    • Understanding of confidentiality and data protection requirements.






  • Experience

    • Experience providing administrative support in a busy office environment.

    • Experience organizing meetings, events, and managing diaries.

    • Experience producing reports, correspondence, and meeting minutes.

    • Experience managing email inboxes and handling customer enquiries.

    • Experience using Microsoft Office applications, including Excel, Word, and Outlook.

    • Desirable: Experience within a local authority or public sector environment, supporting statutory processes or panels, and financial administration.

    • Ability to prioritize competing workloads effectively.

  • Other Requirements

    • Ability to work flexibly between 8:00 am and 5:00 pm.

    • Ability to travel to other WSCC offices when required.

    • Demonstrates resilience, professionalism, and integrity.

    • Ability to manage interruptions and changing priorities effectively.





Additional Information









  • Contract length to be confirmed.

  • Rate: £17.26 per hour (Umbrella).

  • Hybrid working – Office attendance required on Tuesdays and Thursdays.

  • Pay is provided on a bi-weekly basis.
