Job Description

Job purpose:

To provide a comprehensive and effective administration service to the site. To be the face of the company on Reception and provide excellent customer service to enquiries over the phone and in person.
Responsibilities

Liaise with all Company Departments and Security Department in accordance with the procedure for Visitors.
Book meeting rooms for visitors and organize facilities and refreshments as requested.
Receive and greet all visitors, issue security badges as necessary and advise host departments of arrival.
Arrange taxis for visitors leaving the Company premises.
Prevent unauthorized personnel entering the Main Office and liaise with Security Department accordingly.
Operate Company switchboard during normal business hours in a professional and customer friendly manner.
Assist with the

sorting/distribution

of internal and external mail and the preparation of outgoing mail.
Responsibility for the ordering and control of stationery.
Assist with the despatching and receipt of couriers.
ADMINISTRATION AND RECEPTION
Providing administrative support to all Company Departments
Assisting all Company Departments with the production of correspondence, reports and presentations in the appropriate software eg Word, Excel and Powerpoint
Organising travel arrangements for Company personnel in accordance with Company procedures
Providing administrative support for Company functions eg AGM, Company Presentations and Retirements
Providing administrative assistance to clients and customers
General HR transactional support always showing confidentially.
Assisting with the distribution, collection and posting of all Company mail
Carrying out any other administrative duties that may arise
Carrying out Main Office reception duties including Visitors reception and the booking of meeting rooms etc.
