Job Description - Administrative Assistant

The H. Lavity Stoutt Community College is seeking an exceptional individual to fill the role of Administrative Assistant


at the Robert Mathavious Institute.



Job Description/Duties and Responsibilities


The Administrative Assistant performs diversified and varied administrative duties to support the department.



Duties include:




  • Provide confidential administrative support to the Director, Executive Assistant and Professional Tutors of the RMI;

  • Maintain calendars and schedules of activities, meetings and various events; coordinate activities with other departments, the public and outside agencies; (e.g. maintain electronic file noting current workshops and customized training courses.)

  • Advise students and employers about the programmes and courses offered, dates and times of offerings, admissions procedures, eligibility requirements and costs;

  • Liaise with internal departments throughout the student experience including registration, scheduling of courses and examinations, and any other related functions;

  • Liaise with external parties to assist with the awareness and implementation of new offerings,

  • Assist with events such as face-to-face seminars, workshops, conferences, graduations and any other activities held by RMI;

  • Assist with the administration of courses for clients, including course launch, tracking, and certification as necessary;

  • Function as an ACCA Exams Invigilator;

  • Be responsive to queries from students and partners through the appropriate mediums;

  • Perform general clerical work including filing, scheduling appointments and meetings, making travel and accommodation arrangements;

  • Organize and maintain filing systems; maintain records related to specific area of assignment; including copies of major records in the Director’s Office;

  • Assist with the preparation of training materials for programmes and workshops including copying; editing; preparing classrooms;

  • Assist with preparation and maintenance of marketing and publicity related materials.

  • Perform any other duties of tasks that may be assigned by the Director or designee.



Qualifications and Experience



  • Bachelor’s degree or professional equivalent

  • 2 years of administrative experience,

  • Working knowledge of the basic administrative processes of an institution of higher education / training organization, or the ability to adapt the knowledge of comparable processes from a similar organization.
