Job Description - Administrator

Kearney FM is seeking a highly organized, detail -oriented Administrator to join our dynamic team. The ideal candidate will provide essential administrative support to ensure the smooth and efficient operation of the station. This role is pivotal in managing the day -to -day activities of the station, coordinating with various departments, and maintaining a professional and welcoming environment for staff, guests, and listeners.

Key Responsibilities:

  • Office Management:

    • Oversee the general office environment, ensuring a clean, organized, and well -stocked workspace.
    • Manage office supplies inventory, placing orders as needed and ensuring cost -effective purchasing.
    • Serve as the first point of contact for visitors, clients, and callers, providing a warm and professional welcome.
  • Administrative Support:

    • Assist the Station Manager and other departments with administrative tasks such as scheduling meetings, preparing documents, and handling correspondence.
    • Maintain and update station records, including contracts, invoices, and employee files.
    • Coordinate and schedule meetings, appointments, and events, ensuring all logistical details are handled.
  • Communication & Coordination:

    • Act as a liaison between different departments, facilitating smooth communication and project coordination.
    • Prepare and distribute internal communications, such as memos, notices, and meeting minutes.
    • Assist in the planning and execution of station events, promotions, and remote broadcasts.
  • Financial Administration:

    • Process invoices, track expenses, and assist with basic bookkeeping tasks.
    • Prepare expense reports, manage petty cash, and assist with budget tracking and financial reporting.
    • Coordinate with the finance department to ensure timely payment of vendors and accurate financial record -keeping.
  • Human Resources Support:

    • Assist with HR tasks, such as maintaining employee records, coordinating recruitment efforts, and onboarding new employees.
    • Track employee attendance and manage the submission of timesheets.
    • Support the organization of training sessions, staff meetings, and team -building activities.
  • Technology & Systems:

    • Manage office technology and systems, including coordinating with IT for any technical issues or upgrades.
    • Ensure that all office equipment (phones, printers, computers) is functioning properly and arrange for repairs as needed.
    • Maintain and update the station’s contact databases and administrative systems.

Work Environment:

  • On -site: This position requires the Administrator to work on -site at the Kearney FM station to ensure effective coordination of day -to -day operations and support for all departments.


Requirements

Experience:

    • Minimum of 2 years of experience in an administrative or office management role. Or University degree in a IT subject
    • Experience in the broadcasting, media, or entertainment industry is a plus but not required.
  • Skills:

    • Strong organizational skills with exceptional attention to detail.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with office technology.
    • Excellent written and verbal communication skills.
    • Ability to multitask, prioritize tasks, and manage time effectively.
    • Strong interpersonal skills and a customer -service -oriented mindset.
    • Basic knowledge of bookkeeping and financial management is an advantage.
  • Education:

    • An associate or bachelor’s degree, NVQ or equivalent apprenticeship in Business Administration, Office Management, or a related field is preferred.
