We are looking for an experienced Administrator to work full-time within the Fleet Department at Truro.
The ideal candidate will have an eye for detail, strong administration, organisational and computer skills and enjoy working in a fast paced environment as part of a team.
The job purpose is to support the I & C Operations/Municipal and Workshop.
Strong geographical knowledge, automotive experience and confidence in your own abilities will be a distinct advantage in this role.
Principal Accountabilities
Process all hire requests on the system ensuring compliance documents have been received
Liaise with hire companies to source vehicles as per our SLA
Raise PO’s on the system
Complete the Goods Receive Report
Process and order Fuel Cards
Process Disposals though the system, liaising with internal and external customers to end
Update Fleetwave with all aspects to Fleet Inc Vehicle Movements etc.
Resolve queries from internal and external customers
Update Vehicle Lists and Movements
Complete the Vehicle Taxation and pay PO’s for Mot’s
Process all Penalty Charge Notices and Notice of Intent to Prosecute Notices
Understand the O Licence and Transport Manager functions for compliance
Complete any other administration duties as required within the Fleet Department
Nature and Scope
This position is a hands on role involving the use of many personal skills such as relationship management, people and resource management. The ability to build key internal relationships at all levels of management within the business and across a number of departments and work with external customers efficiently and professionally.
In addition, this role is a support mechanism to the Workshops and Operations, ensuring timely hire of appropriate vehicles along with the taxation of vehicles, MOT’s and many other compliance administration tasks.
This role requires good time management, organisational skills, and being a professional communicator at all levels of the business along with internal and external customers.
Person Specification
GCSE in Maths and English
Computer Literate (Microsoft Office, especially in Excel)
Strong Administrative Experience
Working knowledge and understanding of Invoice Production
Ability to communicate professionally at all levels of the business including Senior Management
Be smart and presentable, be able to plan, organise and prioritise your work load
Ability to work to strict deadlines
A flexible attitude towards your work load, assist and support your colleagues where necessary, develop skill sets and knowledge determined by the business
