Main Purpose: To provide Administrative support to ensure the efficient functioning of Target support projects.
To provide administrative support to all staff
Be the first point of contact for referring agencies and potential clients and provide regular feedback and update the referrer and client
Respond to all telephone enquiries, take messages, update support workers and databases accordingly
Liaise with staff to book assessments
Record relevant information in databases and produce reports from the database as required
Liaise closely with external agencies
Develop an approach to signposting individuals to other housing providers. Develop a rapport and professional relationship with those providers.
Ensure all correspondence is consistent and uniform, produced to a high professional standard.
Follow equality of opportunity approach to managing accommodation waiting lists ensuring Fair Access Policy is followed.
To attend the weekly team meeting
Complete quarterly monitoring returns as required by commissioners.
Any other duties deemed as appropriate and agreed with Service Manager
Assist with office duties as directed and day to day office functioning
Take responsibility for ensuring all electrical, technical equipment and components are fully functioning and liaise with external IT Support Service.
Person Specifications
Familiar with the use of Word, Excel, Publisher, PowerPoint and database systems
Possess excellent communications skills both written and verbal
Experience in office administration
Ability to liaise with a diverse range of people
Ability to establish and maintain effective strategic relationships
Minute-taking experience
Ability to demonstrate a level of flexibility in order to respond to demands and timescales
Ability to work as part of a team to contribute to set objectives
Willingness to undertake further training and development as necessary
