The H. Lavity Stoutt Community College is seeking an exceptional individual to fill the role of Advancement Officer.
Job Description: Responsibilities
The Advancement Officer performs diversified and varied advancement-related duties for the Institutional Advancement Department. The Officer plays a pivotal role in advancing the mission and goals of the College by cultivating and stewarding relationships with donors, alumni, and community partners. This position is responsible for fundraising efforts, event planning, and engagement initiatives that support the college's growth and impact.
Duties and Responsibilities
Event Planning:
Organize and conduct fundraising events, donor receptions, and alumni gatherings.
Manage event logistics, including invitations, catering, ordering supplies, and follow-up with vendors.
Participate in meetings, including pre-meeting preparation, recording of minutes, and post-meeting follow-up.
Prepare standard forms for Fiscal Services including purchase requisitions, cheque requests, petty cash, and budget transfer forms.
Attend social events planned by the Institutional Advancement Office and/or hosted by the College
Alumni Engagement:
Build and maintain a robust alumni network through events, communications, and outreach.
Act as primary liaison between the College and its Alumni Association.
Collaborate with alumni to foster a sense of community and support for the college.
Assist with the development and/or refinement of existing and/or new alumni engagement strategies.
Input data into the fundraising database, DonorPerfect, and generate periodic reports as determined by the Director of Institutional Advancement.
Assist with advancement functions, such as capital campaigns, events, screening sessions, committee meetings, and volunteer activities.
Special Projects/General
Coordinate special projects, and a variety of ad hoc college initiatives, from inception to execution.
Participate in Institutional Advancement events, including but not limited to, donor functions (meetings, luncheons/dinners, etc.), and social events that can be utilized as cultivation and/or stewardship activities for prospects and donors.
Perform general administrative support including, but not limited to, filing, scheduling appointments and meetings, making travel and accommodation arrangements, ordering supplies, drafting letters and memos, preparing reports, and responding to phone calls and emails.
Where appropriate, serve as liaison with outside business organisations, stakeholders, and partners.
Where appropriate, represent the Director of Institutional Advancement.
Attend to matters as requested, delegated, or assigned by the Director of Institutional Advancement.
Any other duties or tasks that may be assigned by Director.
Qualifications and Experience
Bachelor’s degree in business administration or related field from an accredited institution.
At least 2 years experience in performing administrative/executive, or an equivalent combination of training and experience in a related field.
