Job Description - Application Details Intake Assistant

Application Details Intake Assistant

Customer Service | Forms Intake | Remote | Full-time or part-time
Pay: £51,675–£55,575 a year, full-time equivalent at 37.5 hours weekly; part-time pay pro rata

When a submitted form needs a second look

This position is about the information that arrives through an online form. The applicant or customer has taken the first step, but the receiving team still needs to know whether the form can move forward. You would check routine fields against the provided instructions, record what was received and identify omissions that need a clear follow-up. Your work helps the next person see a usable submission instead of an unexplained collection of fields and attachments.

The role is remote and introductory. It requires thoughtful checking, rather than deciding whether a person qualifies for a service or whether a business request should be accepted. Some forms will be complete; others may be missing a date, a contact detail or a document specifically listed in the instructions. You will be taught the employer’s required-field rules and where to direct unusual cases. A question about eligibility, a conflicting document or a request for an exception goes to the person authorised to decide it.

What an intake day can involve

When you open an assigned submission, you would first establish which form type it is and which checklist applies. You might compare the contact details against an attachment, check that required sections contain usable answers and make sure files are accessible. You would record the submission’s status accurately. If a detail is absent, you would ask for that detail using a suitable message, without asking a broad series of unnecessary questions. Once the missing information comes in, you would link it to the original submission rather than opening an unrelated new case.

A good handoff says what was received and what remains outstanding. It does not imply that the form has been approved. For example, an application with every required field completed may be ready for a reviewer, while one with an unreadable attachment remains pending a replacement. Your notes should distinguish those situations. The exact form types and systems depend on the hiring company; this position follows a straightforward administrative workflow.

Routine checks you may be asked to make

  • Confirm that the correct online form has been used for the type of request received.
  • Check required fields for entries, using the employer’s checklist rather than personal judgement about the answer.
  • Compare names, references and dates where two supplied items are meant to agree.
  • Note a missing or unreadable attachment without declaring the whole request invalid.
  • Send a specific request for information when the team’s process permits it.
  • Update the intake status so colleagues can see whether the submission is pending or ready for review.
  • Keep later replies attached to the original record.
  • Flag a contradiction or question requiring a decision to an authorised colleague.

Useful habits for the role

  • Read the form’s instructions before treating a blank field as a problem; some questions may not apply.
  • Check the relevant record before sending a duplicate reminder.
  • Use straightforward written language when explaining what detail is needed.
  • Handle personal information only in the employer’s approved systems.
  • Keep a short note of action taken and the reason an item has not moved on.
  • Ask for guidance when the checklist does not cover what you are seeing.

Where your experience can come from

Someone with office administration or customer service experience may recognise the importance of a clear request and a reliable record. That background is welcome, but it is not necessary. If you have filled in web forms carefully, checked information for a course or another job, or helped someone understand a missing requirement, you may already have useful habits. The company will train newcomers on its intake steps and online tools. It is reasonable to apply with little or no formal experience if you can use a computer, follow written instructions and communicate a small problem clearly.

This position involves independent work within a defined process, plus collaboration when an issue belongs with another person. It suits a candidate who will not turn a routine omission into a complicated investigation, and who will not let a form move ahead just to clear a queue. A quiet home office area may help when reviewing personal details and keeping the submitted information in the approved online system.

Working terms

Pay is £51,675–£55,575 a year full-time equivalent, based on 37.5 hours a week. That corresponds to £26.50–£28.50 per hour; part-time pay is pro rata. The hiring team can explain the working pattern that applies to the opening.

Application information

In your CV, draw attention to careful data checking, clear written follow-up or any responsibility for keeping a request moving. Experience in forms intake is helpful, but newcomers are welcome because the particular checklist and systems will be taught. If you’re selected for the next step, you may be asked to complete an application on the hiring company’s website. That step may ask for details needed by the employer’s own hiring process. Please make sure your contact information in the initial application is accurate so the employer can reach you if it wishes to continue.
