Appointment Change Confirmation Clerk

Job Description - Appointment Change Confirmation Clerk

Appointment Change Confirmation Clerk

Office Administration / Scheduling / Remote
Full-time or part-time · £26.75–£28.75 hourly

The change is not finished until both sides have the same time

Appointments shift for ordinary reasons. A customer may ask to move a booking, a colleague may identify an unavailable slot, or a confirmed time may need to be clarified.

The Appointment Change Confirmation Clerk handles the administrative steps after a change has been approved: update the online calendar, send the correct details and keep a record that colleagues can follow. The position is remote and suited to an organised person who notices dates, names and time zones.

You would not decide how to prioritise a waiting list or override a booking rule. Your task is to use the team’s instructions and available slots, check that the proposed change is permitted, and seek approval where a choice sits outside your remit. Once a revised time is agreed, it needs to appear consistently in the calendar and the message sent to the person attending. A confirmation that quotes the old date is worse than no confirmation at all, so a final comparison is an important part of the work.

A normal change begins by identifying the correct appointment from its name and reference. You would read the request to see whether the person wants to reschedule, cancel or simply confirm the existing time. Once the replacement slot has actually been offered and accepted, you would update the calendar and any linked note according to the process. An unclear or conflicting instruction goes back for clarification.

After a change is approved, the written confirmation should show the revised date and time using the booking’s time convention. An agreed cancellation needs to be visible to colleagues preparing for the appointment. You would keep the original request connected to the completed action so another person can understand why the entry changed.

The work calls for steady follow-through. If a message offers two possible times but the recipient has not chosen one, you would not mark either as confirmed. If a colleague has suggested a slot but the calendar now shows it as unavailable, you would ask what to do rather than silently moving another booking. These are simple judgements about the state of a request, not authority to redesign the schedule. The team will teach the distinction between a tentative hold and a confirmed appointment.

Communication that removes doubt

The best confirmation is brief and unambiguous. It says what has changed, provides the agreed date and time, and tells the person how to raise a correction if the details are wrong. You may also answer a straightforward customer service question about a booking’s status. Where a customer has several appointments, you should identify the one affected instead of sending a message that could be read as changing all of them.

An online calendar and email will be central tools. You may also update a shared booking list or a simple case record. You do not need to know a particular scheduling platform beforehand; the employer will show you its workflow. You do need basic computer confidence, careful written communication and a habit of checking dates before sending them. Previous office administration or reception experience is helpful but not required. New applicants with little experience are welcome, including people who have organised appointments in another setting.

Remote work requires you to keep your assigned changes visible to the team. A home office space where you can check times without distraction may help. You should feel comfortable asking a colleague when two instructions conflict, and you should avoid promising an available slot that has not been confirmed. Part-time and full-time arrangements may be available, with working hours explained for the opening.

Pay and next step

The pay range is £26.75–£28.75 per hour. This is an introductory scheduling role with training on the employer’s calendar and communication process. It does not require you to manage a team or set appointment policy.

Your CV can show scheduling, accurate record updates or experience writing clear confirmations. If you have only arranged times for a course, club or previous workplace, that is still worth making visible. We are interested in dependable checking more than a specific job title. If you’re selected for the next step, you may be asked to complete an application on the hiring company’s website. The hiring team can provide further details about the appointment types during the process.
