An established UK organisation is looking for an organised and personable Booking Coordinator to join their team. This is a varied administrative role involving stakeholder communication, data management and customer service.
The successful candidate will be responsible for coordinating a number of allocated screening, acting as the key point of contact for external stakeholders and ensuring everything is organised and delivered smoothly.
Key Responsibilities
Coordinate allocated screening from initial booking through to completion. Act as the main point of contact for families, schools, clients and other external stakeholders. Liaise with internal teams and staff to ensure all arrangements are confirmed and communicated clearly. Manage online booking systems and maintain accurate records. Maintain and update spreadsheets, calendars and databases with all booking and participant information.Create promotional materials using Canva.
Prepare and distribute letters and other documentation, including mail merges. Manage waiting lists and email distribution lists, keeping records accurate and up to date. Coordinate the preparation of equipment and supplies required for each booking. Produce accurate information and data sheets for use by the team. Respond to telephone and email enquiries in a professional and timely manner. Provide administrative support to other members of the team when required. Maintain accurate physical and digital records in line with data protection and information security requirements. Provide general administrative support across the wider team as required.
About You
We are looking for someone who is highly organised, reliable and confident dealing with people at all levels. You will need to be comfortable managing multiple priorities while maintaining a high level of accuracy and attention to detail. The ideal candidate will have: Excellent written and spoken English. A confident and professional telephone manner. Strong administration and organisational skills. Excellent attention to detail. The ability to manage multiple tasks and changing priorities. Strong interpersonal and stakeholder management skills.A calm, patient and empathetic approach when dealing with sensitive or difficult enquiries. Confidence using Microsoft Office, particularly Outlook, Word and Excel. The ability to work independently while also being a supportive team member. A strong understanding of confidentiality and the importance of handling personal information appropriately. A flexible and helpful approach to supporting the wider team.
