Building Manager
Location: Crawley
Salary: £35,000 - £40,000 per annum

Capstone have partnered with a leading property investment & development company, who are seeking a highly diligent Building Manager to efficiently operate and manage a safe and well-maintained building and reception. Responsible for leading a high performing team, delivering a high standard of customer service and facilities management and ensuring that the required company and Health & Safety standards are met.

MAIN RESPONSIBILITES

Operations:

• To implement any necessary systems of work required to provide an efficient, effective and responsive service to all properties and a safe, secure and enjoyable community for residents
• To proactively lead all operational activity and to deliver any targets as they are required
• To follow and accurately oversee administrative processes including, (but not exclusively) Front of House payments, updating any documents and weekly procedures, liaising with and reporting any unresolved challenges to Line Manager
• To manage and take responsibility for any financial aspects of the service provided, including (but not exclusively) processing payment, conducting other transactions and proactively liaising and assisting collecting rent instalments and proactively following up residents’ late payments as required
• Undertake Key Holder responsibilities in accordance with the business requirements
• To establish and maintain required networks to provide and act as a liaison between the company, educational establishments and other external agencies, together with any other potential customers necessary to maximise rental and other associated income throughout the year.
• Adapt services to maintain and improve the quality standards understanding the changing needs of the business, students and clients
• Comply with the Data Protection Act, accurately maintaining any data as required
• Undertake any other reasonable duties as required

Customer Service and Relationship Management:

• Lead and deliver the expected resident experience, highlighting any wellbeing concerns and escalating those as required
• Lead and deliver excellent customer service to tenants, clients, visitors, internal and external stakeholders and contractors
• Promote the building experience to prospective and existing residents conducting tours, open days, events and any other activities as required
• Investigate complaints promptly, professionally and compassionately, ensuring they are accurately recorded and proactively resolved.
• Build and maintain professional and productive working relationships with anyone associated to your role, including (but not exclusively) internal and external stakeholder, tenants, the local community, and various authorities.

People:

• Build and maintain a high performing team, demonstrating good leadership and people management
• Maintain an engaged and motivated team and working style, encouraging and promoting a high level of performance in self and in others
• Build positive working relationships and work closely with other staff and clients working well with people, proactively and positively liaising with other company functions including (but not exclusively) Maintenance, Accommodation, HR and Finance teams

Facilities Management:

• Manage the purchase and processing of stock control for Soft and Hard FM services following the correct protocols
• Ensure supplies, stores, materials, consumables, spares, and contracted services are procured economically and competitively following the correct protocols
• Make arrangements for the “end of contract” deep cleaning in conjunction with the site staff
• Efficiently manage regular and “on departure” flat checks for residents and taking appropriate action as required (e.g., damage)
• Manage and record any disputes with residents, staff, contractors, delivery personnel or any other visitors to the building, as well as any injuries, accidents or other incident affecting the building following Health and Safety protocols as required
• Promptly investigate complaints, persistent or serious breaches of tenancy agreements, anti-social behavioural issues, and damages - resolving or making recommendations for resolution to the Head of Operations
• Accurately maintain any site records including updating records on Qube,

accommodation/resident

lists and keeping an accurate security log
• Ensure that all common areas including (but not exclusively) the reception, laundries, foyer, surrounding ground areas and car park comply with safe working practices
• Train and develop team in the correct use of machines, cleaning materials and any substances required
• Maintain the fabric of the building, equipment, furniture and fitting, reporting defects and taking corrective action to ensure a maintained, safe and secure, living and working environment

Health & Safety:

• Be accountable for and proactively implement and maintain all Health and Safety policies, Fire Prevention arrangements, Internal Security and Risk Assessments, keeping accurate records as required
• Manage internal security and fire prevention arrangements collaborating with Head Office as required. Prepare and have oversight of fire drill/reports, security reports and completion of logbooks, etc and taking actions to ensure compliance with Fire Safety (Regulatory Reform) order.
• Ensure site staff respond to fire alarm activations and other emergency situations including liaison with security and emergency services
• Follow company policies and procedures and where this may not be understood actively highlight to your Line Manager seeking support and guidance

Other:
• Adhere to the Company’s Data Protection and UK GDPR policy
• Understand and follow all company policies and procedures and where this may not be understood actively highlight to your Line Manager seeking support and guidance
• Undertake any other reasonable duties as required

PERSON SPECIFICATION

Being fully accountability suits your working style and you enjoy a busy hands-on role, with a great balance of leadership, operations, administration, compliance and people management.

You are personable, approachable, flexible, and proactive always remaining clam under pressure and are used to managing sometimes difficult situations, always following the correct protocols.

You may previously have worked in other management or supervisory roles, perhaps as part of another building management team, asset or property management or in a service-based role and enjoy working with a wide range of people and are keen to resolve issues, keep various administrative, compliance and operational activity on track always seeing things through to the end.

Happy to lead others, sometimes rolling your sleeves up, you love getting the job done and are keen to further develop your building management expertise.
