Our client is an established and forward-thinking business operating from a modern facility in Brough. They provide a supportive, well-structured environment and are seeking an organized Business Administration Manager to lead office operations and support their commercial team.
Role Purpose
The Business Administration Manager ensures the smooth day-to-day running of the office, handles general administration, and supports the commercial functions. This position provides essential support across finance administration, job file management, travel logistics, internal systems, and fleet compliance. You will act as the central administrative contact and directly supervise an Apprentice Administrator. Key Responsibilities
Job File & Quotation Administration: Set up new job files, type and issue quotations, match incoming customer Purchase Orders, process completion certificates, and circulate daily Live Jobs summaries. Travel & Accommodation Coordination: Book and track staff and contractor travel and accommodation, liaise with providers to resolve booking issues, communicate arrangements to site teams, and chase outstanding invoices. Workforce & HR Administration: Maintain employee records on workforce software covering annual leave, sickness, and timesheets. Coordinate Return to Work documentation, DBS, and Right to Work checks. Fleet & Compliance Administration: Manage the payment and appeal process for parking charges, coordinate vehicle servicing and repairs with garages, and maintain up-to-date vehicle documentation. Office & Facilities Management: Oversee stationery ordering, filing, and post. Coordinate logistics and take minutes for internal meetings. Liaise with cleaning and IT support contractors. Stakeholder & Communication Support: Act as the primary point of contact for staff and suppliers. Support directors with correspondence, document preparation, and Portuguese translations where required. Escalate billing or compliance issues timely.Key Systems Used
Procurement Express (purchase orders and invoice processing) Connecteam (workforce management, timesheets, annual leave tracking) Microsoft Excel / Shared Drive Spreadsheets (job files, accommodation, credit card logs) Compliance Genie (sickness and return to work administration)Candidate Profile
Proven experience in a senior office administration, office management, or commercial support role. Experience or willingness to supervise and mentor a junior apprentice administrator. Exceptional organizational skills with the ability to manage multiple tracking tasks calmly. Strong IT literacy, with complete confidence using Microsoft Excel and adapting to modern software platforms. Excellent communication skills to build professional relationships with colleagues, suppliers, and directors. Previous experience with travel coordination, basic HR onboarding administration, or fleet tracking is highly advantageous Only candidates based in UK and eligible to work in UK are allowed
