JOB BAND: C
CONTRACT TYPE:  Permanent  
LOCATION: London TVC
DEPARTMENT: Data & Insights team, part of the CRBA team and risk/compliance.  
PROPOSED SALARY RANGE: £35,000 - £40,000 depending on relevant skills, knowledge and experience. Plus London Weighting Allowance of £5,441.The expected salary range for this role reflects internal benchmarking and external market insights.

PURPOSE OF THE ROLE:


To provide a wide range of business support services which enable the relevant teams to achieve business plan objectives.  This role will support the Data & Insights team, part of the CRBA team and risk/compliance.   This role is critical in supporting the teams through a period of significant business transformation. 


 


YOUR KEY RESPONSIBILITIES AND IMPACT:



  • Provide the three team leaders with business support services including diary assistance, travel logistics, c-ordination of meetings, etc.

  • Assist critical workstreams by providing general administration services setting up meetings across multiple teams & time zones across UK, Signapore, America and Europe.

  • Support in uploading key details to the internal intranet and keeping this up to date.

  • Support the smooth transition of new team members – setting up introductory sessions. providing welcoming information, updating team d-lists and meeting invites.

  • Support in raising POs and answering invoice queries & requests from suppliers 
    Managing team tools – ensuring members are on the correct Microsoft Teams channels, encouraging & enabling usage of the Teams channels and sharepoint sites for storing critical documents

  • Coordinate team business calendar activities to help monitor delivery and outputs scheduling team meetings and away days to a sensible cadence, ensuring critical team members are available and accommodated.

  • Supporting the welfare of the team – helping with team socials and away days

  • Help cascade information across the team to ensure effective communication flow. 

  • Provide general policy guidance and advice to support policy compliance working with divisional specialists (e.g. IT, Business Continuity, H&S etc.) as required.

  • Responsible for co-ordinating team IT requests, user administration, systems access and record keeping. Working with the lead asset manager to ensure those who are joining, moving or leaving the department are equipped appropriately with the right IT.


 


 

YOUR SKILLS AND EXPERIENCE

ESSENTIAL CRITERIA:



  • Demonstrated experience delivering comprehensive administrative and business support ideally within a complex, matrixed organisation.

  • Strong experience managing travel coordination across multiple teams and time zones.

  • Strong diary management experience coordinating multiple senior management diaries.

  • Experience in financial and procurement processes, raising purchase orders (POs), and resolving supplier queries.

  • Coordinating activities and conflicting demands to ensure that tight deadlines are met.

  • Strong computer skills with strong experience of office software packages (i.e. Word, Excel and PowerPoint).

  • Experience of gathering, analysing and collating complex and confidential information.


 


DESIRED BUT NOT REQUIRED:



  • Media sector experience.

  • Relevant business management and/or project management qualification.
