Job Description - Business Support Assistant


3 Month Contract With A Local Authority







Job Purpose

The Business Support Assistant will provide effective and efficient administrative support to the Additional Learning Needs (ALN) Team, helping to ensure the smooth day-to-day delivery of statutory services in accordance with the ALN Code for Wales.

The role will involve maintaining accurate pupil records, producing correspondence and documentation, coordinating meetings and deadlines, handling enquiries and providing a professional, customer-focused service to families, schools/settings and professional agencies.













Key Responsibilities



  • Use database systems to accurately check, update and maintain pupil information and records.

  • Produce, prepare and issue correspondence, letters, reports and other documentation accurately and within agreed timescales.

  • Coordinate meetings, including arranging dates, preparing relevant documentation and supporting effective follow-up.

  • Monitor key deadlines and assist the team in keeping activities and statutory processes on track.

  • Handle telephone enquiries professionally, providing clear information and directing queries to the appropriate team member where required.

  • Provide a high standard of customer service to families, schools/settings and professional agencies.

  • Carry out a range of general office and administrative duties to support the effective operation of the ALN Team.

  • Maintain confidentiality and handle sensitive information appropriately.

  • Work independently to manage administrative tasks while contributing positively to a supportive team environment.

  • Identify and resolve routine administrative issues, escalating more complex matters where appropriate.

  • Ensure all administrative work is completed accurately, professionally and in line with relevant procedures and timescales.









Requirements



  • Previous experience in an administrative, clerical or business support role.

  • Strong organisational skills with the ability to manage competing priorities and meet deadlines.

  • Excellent attention to detail and a high level of accuracy when entering and maintaining information.

  • Confident using IT systems and databases to record, retrieve and update information.

  • Good working knowledge of Microsoft Office applications, including Word and Excel.

  • Excellent written and verbal communication skills.

  • Confident and professional telephone manner with a strong customer-service focus.

  • Ability to work independently, use initiative and contribute effectively within a team.

  • Ability to handle confidential and sensitive information with discretion.

  • Strong problem-solving skills and a proactive approach to administrative tasks.

  • Commitment to delivering a high-quality, professional service to families, schools/settings and other stakeholders.
