The role is designed to provide high-quality, responsive executive support to divisional directors, ensuring efficient and effective service delivery. The position plays a crucial part in developing and maintaining cost-effective systems and processes for executive support, aligning with service level agreements. Additionally, the role involves assisting senior executive support staff in resolving various issues, inquiries, and complaints.
Responsibilities
Deliver comprehensive administrative and secretarial support to Divisional Directors and cover for the Senior Executive Support Officer as needed.
Utilize ICT systems to enhance team efficiency and assist in training team members on IT systems.
Implement and improve secretarial and administrative processes, contributing to the development of Executive Support services.
Compile and distribute management data for regular and ad-hoc reporting.
Manage Directors’ communications, using discretion to determine which require personal attention.
Handle routine correspondence on behalf of divisional leadership teams.
Draft correspondence using appropriate discretion and judgment.
Manage and coordinate Divisional Directors' diaries and provide meeting support.
Coordinate briefings and information flow for key stakeholders, alerting Directors to potential schedule delays.
Maintain secretarial, administrative, and financial systems in compliance with council policies.
Assist with project work and ad hoc tasks as directed.
Support the Borough Emergency Control Centre with logicist activities as needed.
Adapt to legislative and regulatory changes, maintaining service levels.
Handle office communications and visitors efficiently and courteously.
Interact professionally with clients, service users, and stakeholders, directing queries appropriately.
Ensure compliance with GDPR policies in all data processing activities.
Provide full cover for the Senior Executive Support Officer during absences.
