Some scheduling work happens before anyone receives a booking confirmation. A calendar has to show which slots are genuinely available, which are held for another purpose and which need a colleague’s decision.
In this remote position, you would help maintain that basic availability information using instructions supplied by the team. The result is a calendar that colleagues can use with confidence when responding to customer requests.
This is deliberately different from independently booking people into appointments. You would not invent opening hours, move a person’s appointment to make room or decide that a team member can take extra work. You would enter approved availability changes, compare them with existing entries and flag overlaps. Where a request is unclear, you would ask the person responsible for the schedule to confirm it before changing a public or shared calendar.
Imagine receiving a note that a staff member is unavailable for one afternoon. You would identify the correct date, check whether the note names the relevant calendar, and update the availability block according to the procedure. If existing bookings appear in that period, you would flag them for the authorised colleague instead of quietly deleting them. The assignment is complete when the approved block is visible and the potential conflict has been brought to the right person’s attention. A second scenario might involve adding recurring bookable periods from an approved rota; you would check that the repeat rule does not create unintended entries on other dates.
The position involves periodic updates and short responses to internal questions. A colleague may ask why a time appears unavailable. You should be able to look at the calendar record and give a factual answer or identify who set the restriction. Good office administration here means maintaining a legible record of changes, not filling the calendar with unexplained notes. There is also a customer service connection: accurate availability prevents customers from being offered times the team cannot honour.
The employer will show you its online calendar, any supporting spreadsheet and the conventions used for holds, booked appointments and blocked periods. You should be comfortable reading a date and time carefully, checking an existing entry before adding another, and writing a short question if the instruction is incomplete. The team may use several calendars, so it helps to confirm the right one before applying a change. You do not need experience with a named software product or a previous scheduling role.
Your tasks may include checking an approved rota against calendar availability, entering a block, updating a changed period and noting that an existing booking needs attention. You may also keep a list of unresolved calendar questions for a colleague to review. The work can be managed as a series of small items, but the effects of a mistake can extend into the next person’s booking conversation. For that reason, accuracy and communication are valued more than trying to clear every item immediately.
Applicants with little or no formal experience are welcome. Experience using a digital calendar for school, volunteering, a club or another job can be helpful, but training is available for the employer’s process. You should be able to distinguish a day from a date, notice a time-zone label when one appears and ask about a conflicting instruction. Basic written English and computer use are important; advanced spreadsheet formulas are not part of this opening.
A home office area suitable for focused computer-based work can help you review changes without losing your place. The role is remote and may be full-time or part-time. Pay is £24.50–£26.50 per hour.
