The Client & Acquisitions Executive plays a key role in the day-to-day operation of the Edinburgh branch, delivering an exceptional client experience whilst ensuring all customer transactions are processed accurately, securely and in accordance with Company procedures.
Working within a secure, high-value environment, the successful candidate will manage client appointments, guide customers through the Company's buying and storage processes, complete compliance documentation, process acquisitions, and ensure purchased goods are accurately recorded and prepared for onward processing.
As one of the founding members of the Edinburgh branch, the successful candidate will contribute to establishing high standards of customer service, operational excellence and teamwork, helping to support the successful development and growth of the branch.
Key Responsibilities:
Client Services
• Welcome clients to the Edinburgh branch in a professional, friendly and knowledgeable manner.
• Deliver an exceptional customer experience throughout every stage of the client journey.
• Manage and conrm client appointments.
• Guide customers through the Company's buying, selling and storage processes.
• Introduce customers to the Company's products and services, identifying opportunities to open storage accounts where appropriate.
• Respond to customer enquiries by telephone, email and in person in a timely and professional manner.
• Build positive relationships with new and existing customers whilst maintaining the Company's reputation for excellent service.
Goods Acquisition & Processing
• Receive products presented by customers attending appointments
• Test, inspect and verify products in accordance with Company procedures and training.
• Confrm quotations and arrange test payments where required.
• Accurately book products onto the Company's bespoke internal systems.
• Create new product records and SKU references where required.
• Identify and label products to maintain full traceability throughout the purchasing process.
• Ensure all purchased goods are accurately recorded and securely stored pending onward processing.
Compliance & Administration
• Obtain, verify and securely upload customer identifcation documents.
• Complete all required 'Sell to Us' documentation.
• Complete customer due diligence and compliance requirements in accordance with Company policies and regulatory obligations.
• Maintain accurate records using the Company's internal systems.
• Ensure all documentation is completed accurately and within required timescales.
• Escalate any unusual transactions or compliance concerns appropriately.
Dispatch & Stock Control
• Prepare purchased goods for secure collection or onward movement.
• Ensure sale-ready products are correctly labelled and transferred for dispatch.
• Clean and prepare products where required.
• Collate scrap precious metals for rening.
• Monitor consumable stock levels and report replenishment requirements.
• Arrange courier collections where required.
Branch Operations
• Receive deliveries and verify goods against delivery documentation.
• Carry out quality checks on products received.
• Maintain accurate stock records and inventory information.
• Support the smooth day-to-day operation of the Edinburgh branch.
• Maintain a clean, organised and professional working environment.
• Comply with all Company policies, security procedures, health and safety requirements and compliance obligations.
• Undertake any other reasonable duties consistent with the level and purpose of the role.
Person Specifcation:
Qualifcations
Essential
• GCSE (or equivalent) in English and Mathematics (Grade 4/C or above).
• Qualification in Business Administration, Customer Service or a related discipline.
• Anti-Money Laundering (AML) or Financial Crime awareness training.
• Qualification or training relating to precious metals, jewellery or numismatics.
Experience
Essential
• Previous experience in a customer-facing role.
• Strong administrative experience with excellent attention to detail.
• Experience using Microsoft Oice and computer-based systems.
• Experience handling condential or sensitive information.
• Experience managing competing priorities in a busy environment.
Desirable
• Experience working within the precious metals, jewellery, nancial services or luxury retail sectors.
• Experience processing high-value goods.
• Knowledge of customer due diligence or AML procedures.
• Experience using stock control or inventory management systems.
• Previous sales or relationship management experience.
