Job Description - Community Coordinator/Admin

The Priory

Retirement Village based in Abbotskerswell is on the lookout for a Community Coordinator/Admin to join our RVG family.

Hours: 22.5 hours a week (3 days), including Saturdays on a rota basis.

Salary: £12.00 - £12.50 per hour.

This is a varied and rewarding role that will no doubt provide you with a feeling of job satisfaction. In this role, you will not be delivering care in a hands-on manner, but you must be able and willing to interact positively with residents. You will be working with the General Manager to create an environment where the residents can age well, build friendships and feel part of a community.

The ideal candidate will be proactive, IT literate, have attention to detail, and be able to work in a dynamic environment. They will be supportive and have a problem solving / can-do attitude that reflects the ethos of the company. They will have excellent written and personable skills and be familiar with the Microsoft Office Suite.

You will be responsible for secretarial, clerical, systems and administrative support to the Village leadership team, including diary and event support, defect reporting, and health & safety compliance. This role includes welcoming village residents and visitors in person or by telephone, directing enquiries effectively whilst upholding safety and security standards.

Key Responsibilities:

Administrative

Delivering Hospitality Excellence - Acting as the face of the village, providing a professional and warm reception service to Village residents and visitors, greeting, welcoming and directing them appropriately and notifying village colleagues of their visitors' arrival
Maintains telephone system and building security protocols and standards
Maintains site directory information; guest suite and event space bookings and equipment calendars; meeting room and car parking reservations, where applicable
Keeps a clean and safe and reception area; identities and escalates any safety or other issues promptly, responding appropriately until these are addressed
Understands, upholds and contributes to creating a safety-first culture within RVG. Ensures a safe, compliant and healthy environment for residents, colleagues and the wider community
Drives effective use of hospitality systems and processes to maximise, track and manage income; manages core costs and reduces waste to improve overall profitability of village food, beverage and retail services
Provide adequate, effective and qualified emergency response

Supporting new and established members of the community

Supporting new and established members of the community
Supports new residents with their move-in process, helping them to meet other residents, find their way around the village and get the most out of the services and activities RVG offer
Introduces new residents to like-minded and established residents to act as welcome buddy, where appropriate
Leads by example in role-modelling relationship building, taking time to understand the individual needs and aspirations of RVG's individual residents, using this experience to build and drive an effective village engagement plan (for residents and the wider community)
Establishes and nurtures effective resident and community communication channels, keeping people up to date with what is happening at the village and seeking to understand where RVG can improve their offering and service
Represents RV professionally during interactions with Resident's Committee, its representatives, residents and the wider community; uses professional knowledge to understand and answer questions regarding RV community services, demonstrating diplomacy and empathy in all interactions
Acts as point of contact for resident, family or wider community complaints, gaining a full understanding of the issues and challenges so that the village management team can be engaged to resolve them
Develop knowledge of how to use the emergency call system as part of the village emergency response team
Plans, leads and delivers a varied program of events and activities that reflect the interests and needs of the resident community, helping each member of the RVG community to remain independent for longer
Actively markets the village restaurant to residents; develops event plans and budgets, ensuring each event (and the program as a whole) covers its costs and supports the Hospitality team to deliver those events and parties
Provides timely briefings to village management team, third party suppliers and volunteers on upcoming activities or events
Evaluates events to ensure RVG continues to leverage what is going well and uses each event as a learning opportunity to continuously improve service and process delivery; ensures recommendations are raised to the village management team, so they can be considered for implementation in village and across the whole RV footprint
Follows RV Health, Safety and Environment policies, procedures, and mandatory instructions; identifies any hazards, reporting any risks or issues for self, residents, team members or visitors immediately to the senior manager on duty

Teamwork

As part of the village management team, works collaboratively to deliver and improve service standards
Plays an active part in the wider RV Care, Wellbeing and Community team, traveling as needed to attend training community meetings; briefs the management team and RVG colleagues on RVG's community strategy, ensuring everyone understands the role they play in delivering this
Helps to create an environment where everyone in the team can live RVG's Values
